HVAC Service Dispatcher / Service Coordinator

Overview We're seeking an organized, dependable, customer focused service dispatcher / service coordinator to join our commercial HVAC team. Candidates must have strong organizational skills, phone and computer skills, and the ability to juggle a lot of things in a fast-paced environment. This is a Full-time, in-office position Responsibilities Coordinate and schedule HVAC service appointments by efficiently managing technician availability and customer needs using CRM dispatch software. Communicate clearly with clients via email and phone calls, providing updates, answering inquiries, and managing expectations with professional phone etiquette. Utilize GPS and mapping tools to track technician locations, optimize routing, and improve transportation planning for timely service delivery. Manage incoming service requests through phone calls and email, ensuring prompt response and accurate data entry into CRM dispatch systems. Parts ordering and tracking of shipping & receiving processes related to HVAC parts and equipment, maintaining organized records for follow up on open call repair scheduling. Coordinate with service manager and techs on priority items and job completion status throughout the day. Maintain detailed documentation of dispatch activities, customer interactions, and service logs. Requirements HVAC mechanical experience in dispatching or service coordination. Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with familiarity with Customer Relation Management (CRM) systems. Familiarity with HVAC parts and parts lookup / ordering process with supply houses. Knowledge of GPS mapping tools, and vehicle tracking technology to enhance routing efficiency. Excellent communication skills for effective phone call management, internal communication, and customer service interactions. Ability to handle multiple priorities simultaneously using organizational skills and attention to detail in data entry tasks. Demonstrated analysis skills for evaluating dispatch operations data to identify opportunities for process improvements.
