HVAC Estimator & Parts Specialist
POSTLER & JAECKLE CORP.About the Role Postler & Jaeckle, a well-established and trusted mechanical contractor specializing in HVAC, piping, and sheet metal services, is seeking a detail-oriented, organized, and reliable HVAC Estimator & Parts Specialist to join our team. In this hybrid role, you will be the backbone of our service and installation workflows. You will be responsible for translating service recommendations into accurate project quotes and ensuring our field technicians have the exact parts and materials they need to get the job done right the first time. The ideal candidate balances technical HVAC knowledge with strong administrative and vendor-negotiation skills. Key Responsibilities Estimating & Job Quoting (50%) Review Field Notes: Review field technician notes, equipment specifications, and basic project layouts to determine job scope. Cost Calculation: Calculate accurate labor, material, and equipment costs to build competitive and profitable job quotes. Proposal Preparation: Prepare detailed, professional job proposals and digital quote packages for residential and/or commercial customers. Change Orders: Process and track change orders as project scopes evolve. Parts Procurement & Supply Coordination (50%) Sourcing & Ordering: Identify, source, and order specific HVAC parts, equipment, and specialty items from supply houses and manufacturers. Vendor Relations: Establish and maintain strong working relationships with vendors to secure competitive bulk or project-based pricing. Logistics Coordination: Coordinate parts logistics, track backorders, and communicate timelines to the service manager and field technicians to minimize project downtime. Shipment Verification: Receive incoming shipments, verify accuracy against purchase orders, and ensure specialty parts are staged correctly for upcoming installations. Required Qualifications Experience: Minimum of 2–3 years of experience in the HVAC industry (field experience, service dispatching, parts counter sales, or estimating preferred). Technical Aptitude: Strong understanding of HVAC systems, components, parts, and general mechanical concepts. Ability to read basic layouts or mechanical drawings is a plus. Computer Skills: Proficient with Microsoft Office (specifically Excel and Word) and comfortable adapting to digital HVAC field software (e.g., Hilti Tool Program & internal database systems). Communication: Excellent written and verbal communication skills; comfortable talking directly with customers, technicians, and vendor reps. Traits: Highly organized, extreme attention to detail, strong mathematical problem-solving, and the ability to multi-task in a fast-paced environment.
