Job Summary We are seeking a proactive and organized HVAC Dispatcher to coordinate and manage the scheduling, dispatching, and communication for heating, ventilation, and air conditioning (HVAC) service teams. In this vital role, you will ensure timely response to service requests, optimize routing and resource allocation, and maintain seamless communication between technicians, customers, and internal departments. Responsibilities Coordinate daily dispatch of HVAC technicians using vehicle dispatch software and transportation management systems to ensure prompt service delivery. Manage incoming service requests via multi-line phone systems, ensuring clear communication and accurate data entry into internal systems Optimize routing and scheduling by utilizing GPS and GIS tools to improve efficiency in road transportation operations. Maintain effective internal communication with field teams, customer service representatives, and supply chain personnel to facilitate smooth operations. Track freight movements, shipping & receiving activities, and fleet management details to support logistics and transportation planning. Ensure compliance with DOT (Department of Transportation) regulations during dispatching processes and vehicle operations. Document all dispatch activities meticulously, including analysis of transportation data for continuous improvement initiatives. Provide excellent customer service by managing phone call etiquette, addressing inquiries professionally, and resolving issues promptly. Requirements Proven experience with transportation planning, logistics, or dispatching roles within a supply chain environment. Strong organizational skills with the ability to multitask efficiently using multi-line phone systems and data entry tools like Microsoft Office or typing skills. Excellent communication skills—both verbal and written—and phone etiquette for effective internal communication and customer interactions. Analytical skills for data analysis related to logistics performance and operational improvements. Ability to work independently while collaborating seamlessly with team members across departments.
