About the Role We're looking for an experienced HVAC Dispatcher who knows how to keep technicians moving, schedules organized, and customers taken care of. You'll be the command center for our HVAC service operations, making sure the right technicians are assigned to the right calls at the right time. You'll coordinate daily schedules, manage changing priorities, communicate with technicians and customers, and help keep the entire service department running smoothly. This role is about more than just dispatching calls. It's about thinking ahead, solving problems, taking ownership, and making sure our technicians are set up for success while delivering an outstanding customer experience. What You'll Be Doing Coordinate and dispatch HVAC technicians throughout the day, ensuring efficient scheduling and routing. Manage daily service schedules and assign calls based on technician availability, skills, location, and job priority. Monitor technician workloads and adjust schedules as needed to maximize productivity and minimize unnecessary drive time. Prioritize incoming service requests based on urgency, customer needs, and operational requirements. Communicate consistently with technicians to provide job details, schedule updates, and support throughout the day. Keep customers informed about appointment times, technician arrivals, and scheduling changes. Handle last-minute changes, cancellations, delays, and unexpected scheduling challenges with a solutions-oriented mindset. Work closely with the service management team to maintain an efficient daily operation. Monitor job progress and follow up on open calls to ensure appointments and customer commitments are completed. Maintain accurate customer information, job details, dispatch notes, and scheduling records in ServiceTitan. Help identify opportunities to improve scheduling efficiency, technician productivity, and the overall customer experience. What We're Looking For At least 1 year of HVAC dispatching experience is REQUIRED. Previous experience using ServiceTitan is REQUIRED. High School Diploma or GED preferred. Experience coordinating HVAC technicians and managing daily service schedules. Strong understanding of HVAC service operations and the importance of efficient technician routing. Excellent organizational and time-management skills. Ability to multitask, prioritize competing demands, and stay organized in a fast-paced environment. Strong communication skills, both written and verbal. Quick thinker with strong problem-solving and decision-making abilities. Ability to remain calm, professional, and productive under pressure. Detail-oriented, proactive, and comfortable taking ownership of responsibilities. Team player with a customer-first mindset and a positive attitude.
