HVAC Dispatcher

Overview Join our dynamic team as an HVAC Dispatcher, where you'll be the vital link ensuring smooth and efficient operations within our heating, ventilation, and air conditioning (HVAC) service network. In this energetic role, you'll coordinate service calls, manage logistics, and communicate seamlessly with technicians, clients, and suppliers. Duties Coordinate and schedule HVAC service appointments by utilizing vehicle dispatch software and transportation management systems such as Oracle Transportation Management. Manage multi-line phone systems to handle incoming service requests, customer inquiries, and internal communications with professionalism and clarity. Utilize GPS tools to optimize route planning for technicians, ensuring efficient travel times and resource allocation across road transportation operations. Enter accurate data related to dispatch activities, customer details, freight information, and service logs into relevant logistics platforms. Communicate effectively with field technicians via phone calls or internal messaging systems to relay job details, updates, and urgent instructions while adhering to phone etiquette standards. Monitor fleet management systems to track vehicle locations, maintenance needs, and compliance with DOT (Department of Transportation) regulations. Collaborate closely with supply chain teams to ensure timely delivery of parts and equipment necessary for HVAC repairs or installations. Assist in shipping & receiving processes for parts or equipment shipments related to HVAC services. Maintain organized records of dispatch activities, service schedules, freight movements, and customer interactions for analysis and reporting purposes. Provide excellent customer service by addressing client inquiries promptly, managing expectations professionally, and ensuring high levels of satisfaction through clear communication. Experience Proven experience in dispatching within road transportation operations or logistics environments; familiarity with HVAC or similar technical fields is a plus. Strong knowledge of transportation planning principles, supply chain logistics, and freight management practices. Proficiency in using transportation management systems such as Oracle Transportation Management or vehicle dispatch software. Skilled in data entry, analysis skills, and managing complex schedules using Microsoft Office applications like Excel and Word. Experience working with fleet management tools, GPS tracking devices, GIS applications, and 3PL (third-party logistics) providers is highly desirable. Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment. Strong communication skills—both verbal and written—with the ability to handle multi-line phone systems confidently while maintaining professionalism. Demonstrated ability to provide exceptional customer service through effective phone call management and internal communication channels.
