HVAC Customer Service Representative / Dispatcher
Premier Heating and ACPremier Heating and AC is a growing HVAC company serving Central Vermont. We specialize in heating, cooling, and heat pump installations and service, and we're looking for a Customer Service Representative / Dispatcher to join our team. This is a key position within our company. You will be responsible for keeping our service department organized, communicating with customers, supporting our technicians, and helping make sure the day-to-day operation runs smoothly. What You'll Do Answer incoming customer phone calls and respond to emails Schedule service calls, maintenance appointments, and estimates Dispatch technicians and manage the daily service schedule Communicate with technicians throughout the day Keep customers informed about appointment times and technician arrivals Follow up with customers after service calls Handle end-of-day billing and make sure invoices are accurate Follow up on outstanding invoices and customer questions Schedule follow-up work and help move open jobs toward completion Maintain accurate customer and job information in Housecall Pro Help identify opportunities for maintenance, repairs, and system replacements Provide an excellent customer experience from the initial phone call through completion of the job Help keep the service department organized and productive What We're Looking For We're looking for someone who is: Friendly and professional Organized and detail-oriented Comfortable talking with customers on the phone Able to multitask and prioritize in a busy environment Dependable and punctual Comfortable working independently and taking ownership A strong communicator Able to stay calm and organized when the schedule changes Comfortable learning new software and systems HVAC, plumbing, construction, dispatching, customer service, or office experience is preferred but not required. Experience with Housecall Pro or other field-service software is a plus. This Is More Than a Receptionist Position The person in this role will play a major part in the success of our service department. You'll be working directly with technicians and customers every day and will have a real impact on how efficiently our company operates. We're looking for someone who doesn't need to be told what to do every five minutes—someone who sees a problem, takes ownership, and gets it handled.
