The HR Operations & Leave Coordinator is responsible for assisting with employee leave and workplace accommodations, supporting benefits operations, and providing high-quality employee service while ensuring compliance with company policies and applicable federal, state, and local regulations. This role serves as a key operational partner to HR, Payroll, and Benefits teams by managing HR system transactions, documentation, audits, employee communications, and reporting within UKG and related systems.
The position requires strong attention to detail, sound judgment when handling sensitive employee information, and the ability to manage multiple priorities in a fast-paced, high-volume environment.
Responsibilities of Position:
- Leave Administration & Accommodations
- Support with administering employee leave programs, including FMLA, ADA accommodations, military leave, workers’ compensation coordination, and applicable state or local leave programs
- Communicate with employees and managers regarding leave eligibility, documentation requirements, timelines, and return-to-work processes
- Maintain accurate leave records and ensure timely system updates in UKG, payroll and related platforms
- Assist with employee timesheet support and issue resolution, ensuring accuracy and timely corrections
- HR Operations & System Administration (UKG)
- Maintain bonus file with employee job changes for bonus eligible positions
- Support subcontractor management and record maintenance within UKG
- Provide terminated employees with instructions and support for accessing UKG for pay statements, tax forms, and historical employment records
- Audit document uploads – ensure proper naming and placement
- Compliance, Audits & Documentation
- Support retroactive tax review and response processes, including collection, verification, and management of documentation required for potential tax credits or adjustments
- Assist with Social Security number audits and data validation efforts, coordinating corrections with Payroll and HR as needed
- Benefits Administration Support
- Serve as backup to the Benefits team, supporting daily benefits administration activities as needed
- Assist the Benefits team in preparing and coordinating employee meetings, open enrollment support, and educational sessions related to benefit programs and incentive plans
- Ensure timely distribution of required employee notices and benefit-related communications
- General Responsibilities
- Maintain strict confidentiality of employee information and sensitive company data
- Continuously identify opportunities to improve HR processes, documentation, and system efficiency
- Perform other duties as assigned to support the overall Human Resources function
Supervisory Responsibility:
- This position will not manage employees
Skills & Abilities Needed for Position:
- High attention to detail and accuracy with data entry and documentation
- Ability to manage multiple priorities and deadlines in a high-volume environment
- Excellent written and verbal communication skills with a strong customer-service orientation
- Proficient in Microsoft Office (Excel, Word, Outlook) and HRIS platforms
- Ability to handle sensitive and confidential information with discretion and professionalism
Experience & Knowledge Needed for Position:
- Working knowledge of FMLA, ADA, and general employment regulations related to leave and accommodations
- Strong understanding of HR operations, benefits processes, and payroll system workflows

- Occasionally lifting/carrying/pushing/pulling a max of 10 lbs
