Job Description We are seeking a versatile HR Generalist & Office Administrator to oversee our workforce management and provide vital administrative support across departments. In this role, you will be the backbone of our team—managing everything from recruiting local drivers and warehouse staff to handling payroll and assisting our transportation team with customer invoicing. Key Responsibilities Human Resources & Personnel Management Recruiting & Hiring: Post open positions, screen applications, coordinate with staffing agencies, and schedule and conduct interviews in partnership with department managers. Onboarding: Coordinate new-hire paperwork, employment eligibility verification, payroll setup, handbook acknowledgments, and orientation with the appropriate department. Employee Records & Confidentiality: Maintain accurate employee files and support compliance with applicable employment requirements. Protect employee, payroll, and company information through appropriate access controls and separate confidential medical records. Driver Compliance: Partner with transportation leadership to maintain driver qualification files, track required credentials and renewal dates, and coordinate documentation needed to support applicable DOT requirements. Payroll Processing: Collect and review timecards, resolve discrepancies with managers, and process accurate weekly payroll in coordination with Accounting. Attendance & PTO Tracking: Maintain attendance and paid time off records, track approved requests, and communicate discrepancies or concerns to the appropriate manager. Employee Relations: Serve as a point of contact for employee questions about benefits, policies, and company procedures. Support managers with employee documentation and escalate sensitive concerns to leadership. Benefits Support: Assist employees with benefit enrollment and changes, and coordinate questions with Accounting and benefit providers. Offboarding: Coordinate separation paperwork, payroll and benefit updates, return of company property, and notifications for removal of system access. Administrative & Departmental Support Transportation Invoicing: Partner with the transportation department to review freight bills, verify delivery paperwork, and prepare accurate customer invoices. Office Coordination: Manage incoming mail, order office supplies, and help maintain an organized and professional office environment. Cross-Functional Support: Assist leadership and department managers with administrative projects, reporting, and process improvements as needed. Qualifications & Skills Experience: At least two years of relevant HR, payroll, or office administration experience, including hands-on work with employee records or payroll. Transportation, trucking, or warehousing experience is preferred. Confidentiality & Judgment: Ability to handle sensitive information professionally, exercise sound judgment, and recognize when an issue requires leadership involvement. Organization: Strong attention to detail and the ability to manage deadlines, maintain accurate records, and follow through on outstanding items. Adaptability: Willingness to support a variety of responsibilities and adjust priorities as business needs change.
