The London Cleaning CompanyHouse Manager Role and Responsibilities Outlined below are the roles and responsibilities for the position of House Manager for a property management company based in Manhattan, NY. This role will be to support a growing portfolio of properties in and around New York with House Manager/PA responsibilities. Client relationship management: Primary responsibility as key account and lead relationship management for clients and their staff/team. Preparing and sending weekly status reporting to the clients. Primary responsibility for managing property in line with Service Level Agreement, and using team resource and external resources to facilitate this as required. Leading company service provisions; e.g. maintenance engineers, housekeepers, in addition to remote/attending team of House Managers in relation to the company portfolio. Property management: Supervision and tasking of engineers working at the properties with associated reporting to the client Management of implementation of PPM schedule for the properties Prepare annual budgeting for the properties as required Assess and report to client on recommendations for mitigation of costs where possible Project management (cyclical, remedial and ad hoc) of works as required at the properties supported by the wider team and external resources Supervise on site cyclical and reactive maintenance works, report back to client Liaise and manage relationships with existing external suppliers to the house to ensure good standard of service is provided and that the client is prioritised Prepare and assess vendor or contract tenders (for service contracts/reactive works/cyclical works), providing considered recommendations to the client with detailed supporting documentation as required Management and progression of insurance claims on behalf of clients as required Utilise technical knowledge to advise and undertake initial troubleshooting/assessment of reactive issues Review of O&Ms as required, sourcing of materials, oversight of on-site stock management and procurement for the property as required Responsible for access management to the house and staffing for supervision Undertaking in depth inspections of the property and its facilities (frequency as per SLA) with associated reporting. Arrange and oversee preparations and thoroughly audit units in preparation for client use and visit Point of contact for client team for issue resolution during client visits, including outside of normal working hours as required (overtime/time in lieu is paid) Assist with any property related projects as required in advance of or during client visits (lifestyle requests) – example, assistance with organising newspaper/grocery deliveries Administration: Record hourly charged service delivery to company systems PPM service record keeping, future scheduling and property record documentation filing Record management documentation and pertinent information onto company systems Utilise company systems to schedule workflow, resources and priorities as required Operational Responsibilities: Assist with the development of property management processes to ensure efficiency as discussed and approved with Directors Assist with strategy & processes for enhanced monetisation of existing and new property management clients as approved by Directors Assist with recruitment of NYC team (as required) Grow trusted vendor contractor pool in line with company ‘approved vendors’ criteria Hold periodic meetings with Senior Team Members & Directors to reporting in on progress/challenges Support the Directors of to achieve the instruction of new business and clients across departments and disciplines as required. Assist with growth in new areas; e.g. the Hamptons.
