Job Summary Coastal Heavy Haulers is looking for a dependable, organized dispatcher to coordinate daily loads, communicate with drivers and customers, and keep our trucks and trailers scheduled and moving. Previous dispatch or heavy-haul experience is preferred, but we will train the right candidate. We’re looking for someone who communicates well, pays attention to details, follows through, and is willing to learn. You will work closely with the Operations Manager to coordinate assignments, prepare drivers for upcoming jobs, track loads through delivery, and handle changes throughout the day. Training and guidance will be provided as you learn our equipment, systems, and dispatch procedures. Duties Schedule and dispatch loads. Coordinate drivers, trucks, and trailers according to load requirements, equipment availability, and the daily operating plan. Keep the dispatch schedule current. Maintain accurate information on truck locations, driver availability, trailer availability, active loads, and upcoming work. Confirm job details. Verify pickup and delivery locations, appointments, contacts, load dimensions, weights, and equipment requirements. Work with the Operations Manager to resolve missing information or special requirements. Communicate with drivers. Provide clear load instructions, jobsite information, appointment times, and required documents. Answer questions and help address issues during the move. Assist with permits and escorts. Help coordinate permits and escort services, confirm routing information with the Operations Manager, and ensure drivers receive the necessary documents and instructions. Track loads through delivery. Follow progress, monitor arrival times, and communicate delays or schedule changes to the people affected. Keep customers informed. Confirm scheduling details, provide status updates, and respond promptly to questions about active and upcoming loads. Handle dispatch changes. Help resolve routine scheduling issues and bring major delays, equipment conflicts, or concerns to the Operations Manager promptly. Coordinate equipment availability. Communicate with the shop and Operations Manager about maintenance, repairs, and equipment needed for scheduled work. Maintain accurate paperwork. Keep load records complete, document detention and other additional services, and collect delivery paperwork needed for billing and driver pay. Prepare for upcoming work. Review the next day’s schedule, confirm assignments, and identify anything that could prevent a truck from being ready for its next load. Requirements Dependability, a strong work ethic, and a willingness to learn. Clear, professional communication over the phone, by email, and in person. Strong organization and attention to detail. The ability to manage several tasks and stay focused when schedules change. Comfort using computers, email, and basic spreadsheets. Good judgment, consistent follow-through, and the willingness to ask questions when something is unclear. The ability to work well with drivers, customers, and coworkers. A willingness to learn about trucks, trailers, load requirements, permits, and dispatch procedures. Experience in dispatch, trucking, logistics, scheduling, or customer service is a plus. Heavy-haul or specialized transportation experience is especially valuable.
