Position Overview

We are seeking a Healthcare Operations Administrator to support and strengthen daily administrative and operational systems.


This role works closely with ownership and senior leadership and plays an important part in maintaining workflow reliability, compliance standards, and team performance.


Over time, this position is intended to develop into a primary operational leadership role with increasing responsibility and autonomy.


Success in this role comes from steady execution, strong organization, and personal ownership of results.


Key Responsibilities

Operations & Workflow Management

  • Coordinate intake, scheduling, and referral workflows
  • Maintain accurate and timely documentation
  • Monitor open items and ensure timely resolution
  • Strengthen internal workflows using Microsoft Teams and Microsoft 365
  • Track and report operational performance metrics


Administrative & Revenue Support

  • Support billing documentation and claims follow-up
  • Monitor reimbursement and denial activity
  • Coordinate with billing vendors and partners
  • Maintain organized financial and operational records


Compliance & Quality

  • Maintain CMS, HIPAA, IDTF, and internal standards
  • Ensure records are audit-ready
  • Identify and escalate compliance risks proactively


Team & Provider Coordination

  • Support onboarding and administrative training
  • Maintain professional provider communication
  • Promote consistent internal standards and procedures


Required Qualifications

  • 3+ years of healthcare administration or operations experience
  • Experience in regulated healthcare environments
  • Familiarity with medical billing and documentation processes
  • Strong organizational and follow-through skills
  • Comfort managing priorities and deadlines
  • Proficiency with Microsoft Teams, Outlook, and Excel
  • Professional written and verbal communication skills
  • Reliable attendance and strong work ethic


Preferred Experience

  • Mobile healthcare, home health, hospice, or outpatient services
  • Multi-location or multi-state operations
  • EMR systems, BambooHR, and reporting platforms
  • Denial management and appeals support
