Gift Sourcing Manager

Job Overview Our company is an international event execution firm headquartered in China, with an established branch in Thailand, and we are currently building and expanding our new U.S. branch. With over 26 years of experience in AV, lighting, and live event production, we deliver professional and creative solutions for clients across industries, including automotive events, exhibitions/trade shows, and product launches. We also provide exhibition booth build and on‑site installation services, and we are currently expanding our U.S. team to support this growth. This role owns end-to-end sourcing for corporate gifts & promotional items for our US team. You will translate US client gift briefs into domestic China sourcing projects, manage supplier development, sampling, pricing, production QC, lead time and compliance. You will communicate cross-timezone with US stakeholders to ensure on-time, on-spec delivery and margin control. Responsibilities Receive and interpret gift requirements from US team: artwork, branding, material, packaging, budget, timeline and compliance requirements. Prepare sourcing proposals, quotations and samples for US approval. Source, qualify, evaluate and manage China-based gift manufacturers & vendors (promo goods, custom premium, stationery, tech gadgets, textile, hard goods, gift boxes). Build and maintain a qualified supplier pool. Conduct RFQ, price negotiation, cost breakdown and margin analysis. Control project cost and drive cost-saving initiatives. Manage sampling cycle: proto sample, approval sample, pre-production sample and bulk sample. Track revision until sign-off; maintain sample archive. Issue POs, monitor production schedule, arrange in-line and pre-shipment inspection. Flag quality/delay risks and drive corrective actions, update US side proactively. Ensure products meet US compliance requirements including CPSIA, Proposition 65, labeling and test certificates as required. Handle non-conformity and claims. Coordinate with logistics & documentation team for packing, marking, customs docs and shipment arrangement. Maintain project tracker, supplier database, gift item library and pricing library; conduct post-project review. Proactively source new gift ideas and trending premium items for US market. Qualifications Bachelor’s degree preferred, major in International Trade, Supply Chain or Business English. Fluent English for cross-timezone calls and written communication with US team. 5+ years sourcing / merchandising experience in custom promotional gifts & corporate premium industry. Proven experience supporting US gift projects is a strong plus. Good knowledge of decoration techniques: screen printing, laser engraving, heat transfer, UV, emboss, packaging etc. Familiar with China gift factories and inspection workflow. Basic understanding of US compliance: CPSIA, California Prop 65, export documentation. Strong multi-project management skills, able to work flexible hours for US timezone meetings. Strong negotiation, cost awareness, attention to detail, problem-solving mindset. Proficient in Excel for quotation and tracking sheets; ERP experience is a plus.
