Join our team as a Full-Time Order Management Specialist and play an important role in creating a smooth, positive experience for our customers. In this position, you’ll manage customer orders from entry through fulfillment, coordinate shipments and returns, and provide knowledgeable support related to our products, warranties, services, and replacement parts. We’re looking for a detail-oriented, organized, and customer-focused professional who enjoys solving problems and working collaboratively with customers, sales, warehouse, engineers, and other team members. This role offers the opportunity to build product and operational expertise, take on increasing responsibility, and grow into a supervisory position. Responsibilities Enter, review, and process customer orders accurately and in a timely manner. Verify order information, including item numbers, quantities, pricing, shipping information, and other order requirements. Monitor orders from entry through fulfillment and shipment. Coordinate with sales, warehouse, and other team members regarding order status, inventory availability, and fulfillment. Handle customer inquiries and complaints via email and phone in a professional and timely manner. Provide customers with product information, order status, warranty information, and other service-related assistance. Troubleshoot and help resolve product issues and customer concerns. Process non-defective and defective product returns, including related documentation and follow-up. Pick, pack, and ship replacement parts as needed. Maintain accurate customer, order, return, and warranty records in company systems. Document and update customer records based on interactions and resolutions. Follow up on backorders, shipping issues, order discrepancies, returns, and other fulfillment-related matters. Develop and maintain a working knowledge of the company’s evolving products and services. Assist engineers and other team members with product testing, inspection, and installation as needed. Assist with order, shipment, return, and other operational reports as needed. Work with team members to identify and implement improvements to order processing and customer service procedures. Cross-train on related functions and provide backup support to the team when needed. Perform other duties and responsibilities as assigned. Qualifications Previous experience in order processing, customer service, quality control, manufacturing, machining, or a related field is strongly preferred. Working knowledge of Microsoft Outlook, Word, and Excel is required. Experience with ERP, order management, inventory, or similar business systems is preferred. Strong attention to detail and accuracy, particularly when entering and processing orders. Ability to prioritize, multitask, and manage multiple orders and customer requests. Strong problem-solving and follow-up skills. Positive and professional demeanor. Excellent written and verbal communication skills. Ability to work independently while collaborating effectively with customers and other departments. Willingness to learn new products, systems, and procedures.
