About the Role We're looking for a detail-oriented Full Charge Bookkeeper/Inventory Coordinator to manage our financial records, inventory, and office operations. This role is ideal for someone who is highly organized, systems-minded, and comfortable moving between spreadsheets, accounting software, and inventory management tools. You'll be a key part of a growing team with real opportunity to shape processes as we scale. Compensation & Benefits Annual salary Health, dental, and vision insurance (eligible after 60 days) 104 hours (13 days) of earned PTO annually Additional paid time off covering the full period between Christmas and New Year's, plus all major holidays Simple IRA with 3% employer match (eligible after one year of employment) Responsibilities Manage accounts payable/receivable, invoicing, and expense tracking in QuickBooks Online Process vendor payments via ACH, international wire transfer, and check, including our overseas partners Reconcile bank and credit card statements monthly Own inventory accuracy in Fishbowl: regularly inventory incoming samples and ensure costing is accurate and aligned across systems Track sample check-in and check-out using Smartsheet, ensuring records stay accurate and up to date Build and maintain spreadsheets in Excel and Google Sheets; work comfortably with CSV imports/exports across systems Process payroll using Gusto Support light HR tasks (onboarding paperwork, benefits admin) as needed Prepare and organize documents for tax preparers/accountants Identify and troubleshoot discrepancies between inventory and financial records Qualifications 2+ years of bookkeeping or accounting support experience, proficiency with Journal Entries Proficiency in QuickBooks Online Experience processing vendor payments via ACH, international wire transfer Experience with Fishbowl or comparable inventory management software strongly preferred Experience with Smartsheet a plus Strong Excel and Google Sheets skills, including comfort with CSV files Precise, accurate data entry skills — this role involves detailed, hands-on tracking of physical samples Highly detail-oriented, organized, and systems-oriented — someone who builds and follows good processes Comfortable managing multiple priorities in a small-office environment Associate's degree or equivalent experience preferred; bookkeeping certification a plus
