Fuels and Propane Dispatcher

Position Summary The Fuel & Propane Dispatcher is responsible for managing delivery scheduling, serving as the front line for customer interaction, and ensuring seamless coordination between customers, drivers, and internal teams. This role is critical to delivering reliable service, proactive communication, and operational efficiency for both residential and commercial customers and identifying opportunities to grow customer value. Duties and Responsibilities 1. Front Desk & Customer Interaction ● Serve as the front-facing point of contact for customers (phone, in-person, email) ● Support walk-in customer traffic flow ● Respond to customer inquiries, service requests, and delivery needs promptly and professionally ● Ensure a positive and organized customer experience at all times 2. Fuel & Propane Dispatching ● Schedule residential & commercial fuel and propane deliveries based on priority , routes, and customer needs ● Monitor and schedule Automatic Delivery Customers to keep our commitment to not letting them run out ● Coordinate with drivers to ensure efficient and timely delivery execution ● Partner with Fuel Operations Manager to adjust schedules in real-time based on weather, demand, and operational changes ● Monitor delivery completion and proactively address any service gaps 3. CRM & System Management ● Maintain accurate and up-to-date customer records in the CRM/system. ● Enter service requests, delivery notes, and customer interactions ● Ensure data accuracy to support billing, service, and reporting 4. Cross-Selling & Customer Growth ● Identify opportunities to cross-sell HVAC services, service plans, or additional products to residential fuel and propane customers ● Communicate relevant offerings to commercial customers during interactions and connect them to the business development manager for full service. ● Support outbound efforts tied to service reminders, seasonal needs, and promotions 5. Storm Response & Proactive Scheduling ● Support customer communication and scheduling during storms or peak demand periods ● Proactively reach out to customers to ensure readiness (fuel levels and service needs) ● Help prioritize deliveries and services during high-demand events ● Coordinate closely with operations to ensure effective response and communication 6. Cross-Functional Coordination ● Partner with drivers, operations, HVAC, and other department teams to ensure alignment ● Coordinate with accounting on customer issues, billing questions, or discrepancies ● Support internal communication to ensure smooth daily operations Required Qualifications ● 2–4 years of experience in dispatch, customer service, or operations coordination ● Strong communication and interpersonal skills ● Ability to manage multiple priorities in a fast-paced environment ● Experience with CRM, dispatch, or scheduling systems preferred ● High attention to detail and organizational skills ● Ability to stay calm and effective during high-demand or urgent situations Physical Requirements ● Ability to remain in a stationary position (sitting or standing) for extended periods of time ● Frequent use of a computer, including typing, viewing a monitor, and using a mouse ● Ability to communicate effectively, including speaking and hearing in person and via phone or video ● Occasional moveme…
