Job Overview The Freight Coordinator is responsible for coordinating and managing day-to-day freight activities, including awarding loads, negotiating freight rates, scheduling shipments, tracking deliveries, and maintaining accurate transportation records. This position serves as a primary point of communication between carriers, brokers, vendors, customers, and internal departments to ensure shipments are picked up and delivered accurately and on time. Responsibilities Coordinate, negotiate, award, schedule, and track inbound and outbound freight from pickup through final delivery. Evaluate freight options based on cost, service, transit time, and customer requirements. Communicate directly with carriers and brokers regarding load availability, scheduling, pickup appointments, delivery appointments, and shipment status. Maintain accurate shipping, pickup, and delivery dates within company systems. Proactively monitor shipments and address delays, missed appointments, or other transportation issues before they impact customers. Provide sales representatives and other internal departments with timely and accurate order and shipment status updates. Coordinate customer-specific delivery requirements and communicate those requirements to carriers. Obtain and maintain required freight documentation, including rate confirmations, bills of lading, proof of delivery, and other shipment records. Review freight charges for accuracy and identify discrepancies when necessary. Escalate service failures, significant delays, freight discrepancies, and other transportation issues to management as appropriate. Assist with additional logistics and administrative responsibilities as needed. Qualifications & Skills Experience working with freight carriers, brokers, vendors, and transportation agents. Strong negotiation skills and ability to evaluate freight rates and service options. Excellent organizational and time-management skills with the ability to prioritize multiple shipments and deadlines. Strong attention to detail and commitment to maintaining accurate shipment information. Effective problem-solving skills and ability to respond quickly to transportation issues. Excellent written and verbal communication skills. Ability to communicate professionally with customers, vendors, carriers, brokers, and internal departments. Strong computer and data-entry skills; experience with transportation management systems (TMS), ERP systems, or similar software is preferred. Previous administrative or office experience is beneficial.
