Fleet/Warranty Coordinator

Fleet Service Coordinator VINS Service VINS Service is looking for a highly organized Fleet Service Coordinator to take ownership of our growing fleet service operation. This is not a traditional retail Service Advisor position. The primary responsibility is keeping fleet vehicles moving efficiently from intake through approval, repair, billing, and closeout. Our fleet operation requires coordination between Holman, Tekmetric, our technicians, and fleet customers. We are looking for someone who can own that process, stay on top of multiple vehicles at once, and make sure nothing falls through the cracks. What You’ll Do Manage the daily workflow of Lyft and other fleet vehicles Create and maintain repair orders in Tekmetric and Holman Submit estimates and authorization requests Monitor and follow up on pending approvals Track every fleet vehicle from arrival through completion Communicate repair status and estimated completion times Coordinate work with our dedicated fleet technician and Service team Update both systems as work progresses Track authorizations, declined work, completed repairs, and remittances Make sure completed repair orders are properly documented and closed Escalate diagnostic and higher level repairs to the appropriate technician Keep the fleet queue organized and moving What We’re Looking For You do not need to be a master technician, but you should understand basic automotive service and repair terminology. The right person is: Extremely organized Strong with computers and comfortable working in multiple systems Persistent about following up on approvals and open items Able to manage multiple vehicles and priorities simultaneously Detail oriented with documentation and billing Comfortable communicating with technicians, management, and fleet representatives Able to work independently without needing constant direction Accountable and willing to own the process from beginning to end Automotive Service Advisor, fleet, dealership, repair shop, rental fleet, dispatch, or automotive administrative experience is strongly preferred. Experience with Tekmetric, Holman, or other fleet management and shop management systems is a major plus. How the Position Works The Fleet Service Coordinator owns the administrative and workflow side of the fleet operation. A dedicated Fleet Maintenance Technician handles routine production such as oil changes, tires, rotations, DVIs, maintenance, and basic repairs. When a vehicle requires advanced diagnostics or higher level repair, the job is escalated to one of our A level technicians. Your responsibility is making sure the vehicle keeps moving through that entire process. Why This Position Matters Fleet is an important and growing part of VINS Service.
