Fleet Supervisor
E A IFleet Supervisor Department: Fleet / Maintenance Reports To: Director of Fleet Maintenance Location: Maryland Employment Type: Full-Time Position Summary The Fleet Supervisor oversees the company’s truck fleet, maintenance operations, fleet mechanics, and vehicle readiness day-to-day. This position ensures all trucks, trailers, equipment, and support vehicles are maintained safely, reliably, compliantly, and cost-effectively. The Fleet Supervisor leads fleet mechanics and coordinates preventive maintenance, inspections, repairs, breakdown response, parts, vendors, and vehicle scheduling. The supervisor is expected to maintain high standards for safety, workmanship, productivity, documentation, and accountability. Essential Responsibilities Fleet Operations Oversee the daily maintenance and readiness of all company trucks, trailers, roll-off equipment, and support vehicles. Ensure vehicles are available and properly maintained to meet operational demands. Monitor vehicle downtime and coordinate repairs to minimize lost production. Establish priorities for repairs based on safety, operational requirements, and urgency. Conduct daily fleet inspections and review vehicle condition reports. Track recurring mechanical problems and develop corrective action plans. Coordinate roadside repairs and emergency breakdown response. Preventive Maintenance Develop and maintain preventive maintenance schedules based on mileage, engine hours, manufacturer recommendations, and company requirements. Ensure PM services are completed on time and documented accurately. Verify that required inspections and maintenance are properly performed before vehicles return to service. Monitor tires, brakes, suspension, steering, driveline, hydraulics, electrical systems, engines, transmissions, and roll-off equipment. Maintain accurate maintenance histories for each vehicle. Shop Supervision Supervise fleet mechanics and support personnel. Assign daily work orders and prioritize shop workload. Monitor mechanic productivity, quality of work, and completion times. Inspect completed repairs to ensure proper artistry. Provide technical guidance and assistance when needed. Ensure mechanics follow established repair procedures and manufacturer specifications. Maintain a clean, organized, and safe shop environment. Enforce proper use and care of tools, equipment, and company property. Safety & Compliance Maintain strict compliance with company safety policies and applicable federal, state, and local regulations. Ensure vehicles are safe before being released to drivers. Ensure required inspections are completed, and deficiencies are corrected. Immediately remove unsafe equipment from service when necessary. Monitor compliance with DOT inspection and maintenance requirements. Ensure proper documentation of safety-related repairs and inspections. Promote a safety-first culture throughout the fleet department. Parts & Inventory Monitor parts inventory and ensure commonly needed parts are available. Approve or coordinate parts purchases within established company procedures. Work with vendors to obtain competitive pricing and timely delivery. Control parts usage and reduce unnecessary expenses. Ensure parts issued to work orders are accurately documented. Monitor warranty parts and warranty claims. Vendor & Outside Repair Management Coordinate outside repairs when work cannot or should not be completed in-house. Communicate with repair facilities, dealerships, tire vendors, and equipment suppliers. Review outside repair estimates before authorization. Verify invoices against completed work. Monitor vendor quality, pricing, and turnaround time. Driver Communication Maintain communication with drivers regarding vehicle defects and maintenance concerns. Ensure reported defects are evaluated promptly. Educate drivers on proper vehicle operation and basic preventive care. Address repeated driver-related equipment issues.
