Fleet ManagerPosition Overview We are seeking an experienced and organized Fleet Manager to oversee the maintenance, compliance, and day-to-day management of our commercial truck fleet. This position is responsible for keeping our equipment safe, compliant, properly maintained, and available for operations. The ideal candidate will have DOT/commercial trucking experience , strong organizational and communication skills, and be comfortable using computers and fleet maintenance software. This position will work closely with drivers, mechanics, management, safety, and vendors to ensure maintenance issues are identified, tracked, repaired, documented, and completed in a timely manner. Key Responsibilities Manage the company's preventive maintenance (PM) program , ensuring trucks and equipment are serviced on schedule. Monitor upcoming and overdue PM services and coordinate with operations and the maintenance team to schedule equipment for service while minimizing downtime. Maintain accurate maintenance and repair records through the company's fleet maintenance software . Review and monitor Driver Vehicle Inspection Reports (DVIRs) and ensure reported defects are addressed appropriately. Create, monitor, and close out work orders for repairs and maintenance. Ensure completed repairs, parts, labor, mileage, and other required information are accurately documented in the fleet maintenance system. Maintain appropriate documentation to support DOT compliance, inspections, and audits . Understand DOT requirements related to commercial vehicle maintenance, inspections, recordkeeping, and out-of-service conditions. Communicate directly with drivers regarding equipment issues, DVIR concerns, scheduled maintenance, and repair status. Work with mechanics to prioritize repairs based on safety, operational needs, and equipment availability. Contact vendors and suppliers to locate, price, and order parts . Track ordered parts to ensure they are received and available when needed. Receive parts into the fleet/inventory system and maintain accurate inventory records. Maintain appropriate inventory levels for commonly used parts, filters, fluids, tires, safety equipment, and other fleet-related supplies. Perform routine inventory counts and investigate inventory discrepancies. Help control unnecessary parts purchases and maintain organization of the parts/inventory area. Coordinate outside repairs with dealerships, repair facilities, tire vendors, towing companies, and other service providers when necessary. Track trucks that are out of service and provide management/operations with accurate updates on expected completion times. Review fleet maintenance information to identify repeat repairs, recurring equipment problems, and excessive downtime. Help ensure annual inspections and other required vehicle inspections are completed before expiration. Maintain organized records so fleet information can be quickly produced when needed for management, customers, or regulatory audits. Qualifications DOT/commercial trucking experience required. Previous fleet management, fleet maintenance, shop management, or similar experience strongly preferred. Working knowledge of DOT vehicle maintenance and inspection requirements. Comfortable working with fleet maintenance software, computers, email, spreadsheets, and electronic records . Ability to learn and effectively use the company's fleet management system for DVIRs, work orders, PM schedules, parts, and inventory. Strong organizational skills with the ability to manage multiple trucks, repairs, parts orders, and deadlines at the same time. Strong communication and people skills , particularly when working with drivers and mechanics. Ability to communicate professionally with vendors, dealerships, parts suppliers, customers, and management. Strong attention to detail and recordkeeping.
