About the Role We're looking for an organized, detail-oriented office professional to manage driver compliance, new hire paperwork, and fleet administration for our trucking and equipment operations. This person keeps our drivers legal, our trucks on the road, and our records audit-ready. If you like keeping deadlines under control and getting files in order, this role is for you. Key Responsibilities Driver Compliance & DOT Files Build and maintain Driver Qualification (DQ) files in line with FMCSA requirements Track DOT medical card expiration dates and schedule physicals before they lapse Manage drug and alcohol consortium enrollment, random selections, and pre-employment testing Run FMCSA Clearinghouse queries (pre-employment and annual) Order and review annual MVRs and driver certifications of violations Track CDL expirations, endorsements, and license renewals New Hire & Onboarding Process new hire paperwork (I-9, W-4, applications, policy acknowledgments) Coordinate pre-employment drug screens, road tests, and background checks Keep personnel files complete and up to date Permits, Registration & Fuel Tax Obtain oversize/overweight (OS/OW) permits for equipment hauls Manage vehicle tag renewals, registrations, and IRP as applicable Prepare and file quarterly IFTA reports and keep mileage/fuel records Maintain truck and trailer files (registrations, inspections, permits) Insurance & Driver Accountability Maintain the approved driver list with our insurance carrier; add and remove drivers Submit driver information and MVRs to the carrier for approval Make sure drivers turn in citations/tickets promptly, and track and report them Help with accident documentation and insurance claims when needed Qualifications 2+ years of experience in trucking, transportation, or fleet compliance (preferred) Working knowledge of FMCSA/DOT regulations, DQ files, and drug and alcohol testing programs IFTA, IRP, and OS/OW permitting experience is a strong plus Highly organized and able to track many deadlines at once Comfortable with Microsoft Office (Excel, Word, Outlook) and online state/federal portals Clear communication with drivers, managers, and outside vendors Able to handle confidential information with discretion Pay $16.00 – $20.00 per hour to start, based on experience.
