Primary Purpose:
The Field Trip Coordinator is responsible for booking vehicles and drivers to accommodate needs for district trips, within the scope of district and departmental guidelines and best practices. They are responsible for training, coordinating, scheduling, billing and payment processing, monitoring and assisting in the use of district vehicles for approved trips. The coordinator works closely with Transportation, campus, and district staff to ensure all parties
involved are prepared, and trips will be performed in the safest and most efficient manner.
Qualifications:
Education/Licenses/Certification
High School Diploma or GED
Pass criminal background check, bus driver physical
Driver Record check, as determined by DPS & Director of Transportation
Possess and maintains a Texas CDL-B or A with P & S endorsement with acceptable driving record as measured by the School Bus Driver’s Record Evaluation criteria
TEA School bus certification
Special Knowledge/Skills
Proficient Microsoft applications and applicable transportation software
Excellent organizational, communication, team and interpersonal skills
Detail oriented
Ability to multi-task, prioritize tasks, file maintenance, and handle conflict resolution
Major Responsibilities and Duties:
Oversees field trip operations, including vehicle convoys
Provides access and training to the trip request system
Assist in filing and updating of all field trip transportation paperwork
Provide training for field trip drivers
Ability to report to Transportation after hours when issues arise that need coordinator support: mechanical problems with at trip bus, lost keys, or any other issues pertaining to field trips
Coordinates field trip assignments
Posts and schedules drivers for trips
Issue bus, trip sheet, and keys the day of the trip
Provides maps and directions to destinations
Monitors and maintains availability to drivers on trips
Coordinates vehicles for coach/teacher use
Oversee vehicle assignments and ensure the vehicle is ready for trips
Pre-trip, fuel, and clean trip buses as needed
Co-ordinate with the leasing companies for all district leased vehicles and vendor leased vehicles
Invoice and process payments of field trips and leased vehicles for all campuses
Maintain records on all district personnel, outside of Transportation, for approval to drive
Substitutes for dispatcher in his/her absence as needed
Substitutes on bus routes as needed
Maintains confidentiality of information
Performs disaster duty as needed (hurricanes, storms and earthquakes, etc.)
Observes all safety rules according to DOT regulations, including passing random alcohol and drug tests
