Position summary The Export Coordinator manages every export order from entry to shipment, making sure product leaves the plant and cold stores on time with complete, accurate, USDA-certified documentation. The role is the link between export customers, production, the loading dock and USDA FSIS. Reports to: VP of Export Sales Department: Export Sales Employment type: Full-time, exempt Location: On site at the plant, with occasional visits to third-party cold storage facilities Key responsibilities Order management Enter export orders into the order system accurately and promptly, matching customer specifications, pricing and destination requirements. Coordinate with the Production Scheduler to confirm production dates and when each shipment will be ready to ship. Keep export customers updated on order status, ready dates, loading, sailing and any changes or delays. Export documentation and USDA coordination Prepare all export documents, including commercial invoices, packing lists, certificates and country-specific forms. Create, submit and track export certificate applications in the USDA FSIS Public Health Information System (PHIS). Schedule USDA export inspections at the plant and at third-party cold storage facilities. Work with the USDA Veterinarian (FSIS Public Health Veterinarian) to obtain required signatures on export certificates. Resolve documentation errors or inspection issues quickly to avoid shipment delays or rejections at destination. Shipping and loading coordination Work with loading dock staff to schedule export inspections and coordinate container loading. Confirm product, counts and labeling match the order and documents before shipment. Regulatory knowledge Know and follow the import requirements of each country we export to, using the USDA FSIS Export Library as the primary reference. Track changes to country requirements and plant eligibility and alert the VP of Export Sales and plant management to anything that affects orders. Keep complete, audit-ready export records. Required High school diploma or equivalent. 2+ years of experience in export documentation, logistics or order coordination. Basic knowledge of beef cuts and industry terminology Proficiency with Microsoft Excel, Outlook and order-entry or ERP systems. Preferred Hands-on experience with USDA FSIS PHIS export certification. Experience exporting meat or other perishable food products. Familiarity with export requirements for key markets such as Japan, South Korea, Mexico, Taiwan and China. Bilingual English/Spanish. Skills and competencies Attention to detail: one wrong number on a certificate can hold a container at port. Organization: manages many orders, deadlines and inspections at once. Communication: works clearly and professionally with customers, USDA personnel, production and dock staff. Problem solving: stays calm and finds fixes when schedules, product or paperwork change last minute. Initiative: follows up without being asked and flags issues early.
