*** 1st shift (8am-4:30pm) *** Position Summary The Export Coordinator is responsible for coordinating export shipments and supporting customers through the export documentation and shipping process. This role works closely with customers, government agencies, carriers, warehouse operations, and internal departments to ensure export orders are processed accurately, efficiently, and in compliance with applicable regulations. In addition to export coordination duties, the Export Coordinator provides administrative support to the Front Office and serves as a professional point of contact for customers, carriers, vendors, and visitors. Key Duties and Responsibilities Follow all company Standard Operating Procedures (SOPs). Coordinate export shipments from order receipt through final document completion. Prepare, review, and distribute export documentation, including bills of lading, certificates, commercial invoices, packing lists, and other required shipping documents. Coordinate inspections and documentation with USDA, FSIS, freight forwarders, customs brokers, and other regulatory agencies as required. Maintain export records and files in accordance with company procedures and customer requirements. Serve as the primary point of contact for export customers and respond promptly to inquiries regarding shipment status, documentation, and scheduling. Communicate shipment requirements to warehouse operations to ensure timely order processing and loading. Enter outbound export orders into the Warehouse Management System (WMS) as needed. Book outbound export appointments in the Yard Management System (YMS) as needed. Allocate outbound export orders in the Warehouse Management System (WMS) as needed. Maintain accurate shipment tracking and order information records. Obtain wet ink veterinary signatures as needed. Resolve routine customer service issues and escalate concerns when appropriate. Assist with filing, record retention, data entry, and other administrative duties. Perform other duties as assigned. Minimum Requirements (Knowledge, Skills, Abilities) High school diploma or equivalent required; associate's degree preferred. Previous experience in export coordination, logistics, transportation, supply chain, or customer service preferred. Knowledge of export documentation, international shipping procedures, and regulatory requirements preferred. Experience working with Warehouse Management Systems (WMS) preferred. Proficiency in Microsoft Office Suite, including Outlook, Excel, and Word. Strong attention to detail and ability to maintain accurate records. Excellent organizational skills with the ability to prioritize multiple tasks in a fast-paced environment. Strong written and verbal communication skills. Ability to build positive relationships with customers, regulatory agencies, carriers, and internal teams. Ability to identify and resolve issues while maintaining a high level of customer service. Ability to maintain confidentiality and professionalism in all interactions. Flexible and adaptable with changing business needs and priorities.
