Executive Administrative Assistant (Performance Materials Division)
Parker HannifinPosition Summary This position is responsible for providing high-level administrative, organizational, communication, and project coordination support to the Performance Materials Division within EMG. Reporting to the PMD General Manager, the Executive Administrative Assistant serves as a trusted partner to division leadership, supporting calendar management, meeting coordination, travel arrangements, communications, reporting activities, and other administrative priorities that enable effective business operations. Responsibilities Provides administrative support to PMD Division Staff Compiles data to produce monthly expense reports Prepares financial, statistical, narrative and/or other reports as requested Prepares PowerPoint presentations Independently composes reports and correspondence Record, transcribe, and distribute accurate meeting minutes, action items, and related documentation in a timely and professional manner Signs on behalf of General Manager, as delegated, his name to correspondence, requisitions, vouchers and other forms of consequence Must maintain a high degree of confidentiality Schedule and arrange rooms, virtual meetings, catering, etc. for internal and external meetings & events Coordinate domestic and international travel arrangements, including hotel reservations, visa applications, and passport processing as needed Maintain calendar of appointments, coordinate meeting schedules, and ensure timely communication of updates, changes, and priorities Maintain accurate, organized, and up-to-date files, records, and documentation in accordance with company procedures and confidentiality requirements Order and manage promotional items, gifts, business cards, office supplies and related material to support business needs and events Back-up for other executive assistants as needed Qualifications Associate’s degree in related discipline and 6 years’ experience; or 8 years of relevant work experience; or Bachelor’s degree in related discipline and 4 years’ experience Excellent written and oral communication skills Excellent computer skills with experience in Microsoft Office Ability to complete a large number of varied tasks expeditiously Demonstrated excellence in organization, coordination and confidentiality Must be able to multi-task and prioritize workload Demonstrated experience and success with basic data analysis Demonstrated experience and success with project management Conditions of Employment This position is subject to meeting U.S. export compliance and/or U.S. Government contracting citizenship eligibility requirements.
