Position Overview The Writing Barn is seeking an Event Logistics Coordinator to serve as our back-up Technical Assistant (TA) for live virtual events. This role is about 14 hours a month, but it's worth noting that many of our now full-time staff started in similar part-time positions, and TWB has a strong culture of expanding team members' roles and hiring from within as we grow. We have multiple online events a month and want to avoid scrambling if/when a team member has a last-minute scheduling conflict. This person would step in to manage live virtual events when our main TA staff is unavailable. We have moderator instructions, but we can't possibly anticipate every potential issue, so we need someone who can think on their feet and use their best judgment to problem-solve on the fly. Key Responsibilities Live Event Management & Technical Support Open and manage Zoom or Google Meet rooms for live virtual events. Manage Zoom and Google Meet settings to ensure sessions run smoothly. Make sure sessions are being recorded. Admit participants and manage access to virtual events. Assist guest speakers with screen sharing and other technical needs. Manage chat and provide support to participants during live sessions. Troubleshoot technical issues and problem-solve on the fly. Prioritize competing requests and manage multiple needs when participants or speakers require assistance at the same time. Follow moderator instructions while using good judgment to address unexpected situations. Administrative Support Since this is an "on-call" position, but we want your schedule to be predictable, the hours would be set. In the event that our main TA staff IS available, you would focus on admin projects during that time instead. Those projects might include: Data entry Online research Other administrative tasks, nothing too technical Schedule & Availability The person in this role would need to have online availability during the following hours: Monday evenings: 5:45 p.m. to 7:45 p.m. CT Two Saturdays each month (typically third and fourth): 9:45 a.m. to 11:45 a.m. CT We hope to add more hours as we expand our events schedule. Ideal Candidate The ideal person is: Online and reachable during the required hours. Comfortable running a Zoom or Google Meet room or online event, including managing platform settings. Good with on-the-spot problem-solving. Able to prioritize competing requests and respond effectively when multiple people need assistance at once during a live event. Detail-oriented with strong admin skills. Comfortable thinking on their feet and using their best judgment to handle unexpected situations. Interested in learning about kidlit publishing! About Our Events Our events all center on kidlit publishing, and our guest speakers are usually agents, editors, or authors who work in the industry and are sharing their expertise with emerging writers. Growth Opportunities Many of our now full-time staff started in similar part-time positions, and TWB has a strong culture of expanding team members' roles and hiring from within as we grow.
