We are currently seeking organized, dependable, and customer-focused Dispatchers / Flight Operations Coordinators to join our growing team. - We are seeking a highly organized and professional Flight Operations Coordinator (Dispatcher) to join our team. The ideal candidate will have a strong administrative or office management background with exceptional organizational, communication, and multitasking skills. Knowledge of aviation operations, flight schools, or dispatch procedures is preferred, but candidates with excellent administrative experience and a willingness to learn will be strongly considered. This position is essential to the safe and efficient operation of our FAA Part 141 flight school and requires outstanding attention to detail, the ability to follow Standard Operating Procedures (SOPs), and the ability to thrive in a fast-paced aviation environment. Key Responsibilities · Coordinate daily flight operations, aircraft scheduling, and instructor assignments. · Schedule aircraft and flight instructors efficiently while maximizing fleet utilization. · Immediately update aircraft availability and return aircraft to the schedule as soon as they are released from maintenance or become available. · Communicate scheduling updates promptly with instructors, dispatch staff, maintenance personnel, student advisors, and management. · Maintain accurate dispatch records and ensure all scheduling information is current. · Welcome students, visitors, and prospective customers while providing exceptional customer service. · Answer incoming telephone calls and emails professionally. · Monitor aircraft scheduling conflicts and proactively resolve operational issues. · Assist students with appointments, flight scheduling, and training coordination. · Follow all Orange County Flight Center Standard Operating Procedures (SOPs) and departmental policies. · Maintain dispatch records and documentation in preparation for FAA inspections and Part 141 audits. · Ensure dispatch operations comply with FAA regulations, company policies, and operational procedures. · Maintain a high level of attention to detail when preparing and reviewing operational records. · Process vendor invoices promptly and accurately, ensuring they are entered into the accounting system on time. · Assist with maintaining organized office files, operational records, and administrative documentation. · Support management with special projects and operational initiatives as assigned. · Work collaboratively with maintenance personnel to minimize aircraft downtime and maximize aircraft availability. · Help maintain a professional, safe, and organized work environment.
