Dispatch & Warehouse Coordinator

About the Position Nova Foods & Logistics is seeking a dependable, hands-on Dispatch & Warehouse Coordinator to support our daily dispatch and warehouse operations. This position is responsible for coordinating delivery and pickup appointments with outside carriers while also learning to oversee warehouse shift operations. The successful candidate will be trained in dispatch first and then cross-trained in warehouse shift management. Once trained, this person will provide coverage for both functions during employee absences, vacations, and periods of increased workload. We are looking for someone who is organized, comfortable working in a fast-paced warehouse environment, and able to communicate effectively with customers, carriers, and warehouse staff. Important Schedule Requirement: The workday may begin at either 4:00 AM or 9:00 AM, Monday through Friday, depending on operational needs. Flexibility with start times is required. Key Responsibilities Dispatch & Appointment Coordination Schedule and confirm inbound delivery and outbound pickup appointments with customers, carriers, and freight brokers. Maintain the daily appointment calendar and dock schedule to coordinate receiving and shipping activities. Communicate schedule changes, delays, and missed appointments to customers, carriers, and warehouse personnel. Verify carrier and driver arrivals, paperwork, and load details at check-in. Maintain accurate appointment logs, bills of lading (BOLs), and shipping and receiving records. Respond to customer and carrier questions regarding appointments and shipment schedules by phone and email. Track and file lumper fees. Email copies of inbound bills of lading to the appropriate customers. Warehouse Shift Operations Oversee daily receiving and shipping activities during the assigned shift. Verify product counts, condition, lot codes, and temperatures during receiving and before loading. Operate a Crown reach truck to put away, retrieve, and stage pallets in frozen, refrigerated, and ambient warehouse areas. Coordinate warehouse staff and establish shift priorities to keep loading and unloading activities on schedule. Immediately report product damage, shortages, overages, temperature discrepancies, and cold-chain concerns. Maintain organized dock and staging areas and follow FIFO/FEFO inventory rotation procedures. General Responsibilities Follow all applicable SQF, food safety, and workplace safety procedures. Help develop, document, and maintain standard operating procedures (SOPs) for dispatch and warehouse operations. Assist with hands-on warehouse duties during peak periods as needed. Provide cross-functional coverage to maintain smooth daily operations. Training & Development This position includes structured cross-training to prepare the successful candidate to support both departments. First 30–60 days: Training in dispatch and appointment coordination. Approximately 60–120 days: Cross-training in warehouse shift operations. After training: Provide coverage for either function as needed, including employee absences, vacations, and increased workload. Qualifications Previous experience operating a Crown reach truck is required . 1–2 or more years of experience in warehouse operations, dispatch, shipping and receiving, or a related field. Experience in food distribution, refrigerated warehousing, or cold storage is preferred. Basic to intermediate computer skills, including email, Microsoft Excel, and warehouse management or scheduling systems. Strong organizational skills and attention to detail. Effective verbal and written communication skills. Ability to coordinate with customers, carriers, freight brokers, and warehouse personnel professionally. Ability to work in ambient, cooler, and freezer environments. Dependable, adaptable, and willing to learn both dispatch and warehouse operations.
