Porta KleenWe’re looking for a dependable Dispatch Coordinator to support daily scheduling and dispatch operations for sanitation services in Lancaster, Ohio. This role coordinates customers, field personnel, equipment, and service information to help crews arrive prepared, meet customer expectations, and keep daily operations running efficiently. What You’ll Do Coordinate daily sanitation service schedules based on customer needs, staffing, equipment availability, routes, and operational priorities. Dispatch field personnel and equipment to customer locations while considering availability, travel time, service requirements, and scheduling priorities. Enter new work orders and maintain complete, accurate, and current customer and service information within company systems. Verify customer names, service addresses, site contacts, scheduled times, purchase orders, and service requirements before scheduled work. Confirm job-specific logistics, including site access, equipment needs, service frequency, placement requirements, special instructions, and customer expectations. Communicate schedule changes, cancellations, delays, and service updates promptly to customers, field personnel, managers, sales personnel, and supporting departments. Monitor active service work and assist with resolving scheduling, staffing, equipment, routing, and customer-service issues as they arise. Coordinate rescheduled, added, and emergency service requests while keeping affected teams informed of changes and expectations. Review upcoming schedules for conflicts involving employee availability, equipment assignments, travel time, service frequency, and customer requirements. Maintain accurate dispatch notes, work orders, customer communications, and end-of-shift information to support continuity between teams. Coordinate equipment movement and service needs between locations and document timing, destinations, assignments, and operating instructions. Support company procedures and applicable driver qualification, DOT, and Hours-of-Service requirements during scheduling and dispatch activities. Monitor field personnel and vehicle availability using company software, fleet-management tools, and established communication systems. Provide professional, timely customer service through phone, email, text messaging, and other approved communication platforms. Partner with Operations, Branch Management, Sales, Billing, Maintenance, and field personnel to address daily sanitation service and scheduling needs. Identify scheduling, routing, service, or communication issues that could affect customers and work with appropriate teams to resolve them. Support efficient routing and scheduling to help reduce unnecessary travel, missed services, equipment downtime, and operational delays. Perform additional duties and operational projects as assigned to support changing business and customer needs. What You’ll Need High school diploma or equivalent preferred; previous dispatch experience strongly preferred, including experience coordinating schedules, field personnel, equipment, work orders, and changing service priorities.
