Your new company: Our client is looking for a Service Coordinator/Dispatcher to join their growing team in Scarborough. This is a fast-paced, customer-focused role supporting service operations and coordinating technicians in the field. The ideal candidate is calm under pressure, quick on their feet, comfortable managing competing priorities, and committed to delivering an excellent customer experience. This is a 6-month contract opportunity. The role is fully onsite in Scarborough, ON, working Monday to Friday from 8:00 AM to 4:30 PM. What You’ll Do: Receive, prioritize and track incoming service requests from customers. Dispatch service technicians based on urgency, location, availability and required skills. Coordinate technician schedules and communicate changes as priorities shift throughout the day. Manage preventative maintenance schedules and ensure work is completed within required timelines. Keep customers informed regarding service requests and job status. Respond professionally to customer questions and help resolve service-related concerns. Prepare, send and track service quotes, ensuring accuracy and timely follow-up. Manage customer service portals, including acknowledging calls, updating statuses and following up on incomplete work. Review and price completed work orders for billing. Prepare invoices in QuickBooks and assist with accounts receivable follow-up. Cost and track service projects. Reconcile technician work orders with timesheets. Maintain accurate and complete electronic and paper records. Provide administrative assistance and backup support to the Operations Manager and Service Manager. What You’ll Bring: Strong organizational skills and attention to detail. Excellent verbal and written communication skills. A professional, helpful and customer-focused approach. The ability to stay calm, think quickly and make sound decisions in a fast-paced environment. Strong prioritization skills with the ability to manage a busy and changing workload. Strong computer skills, including Microsoft Outlook, Word, Excel and Windows. Comfort with data entry and learning new systems and customer portals. Previous dispatch, service coordination, scheduling or administrative experience is preferred. Experience in refrigeration, HVAC, construction or another mechanical/service trade environment is considered an asset. Experience with QuickBooks, invoicing or customer service portals is considered an asset. A willingness to learn, work collaboratively and communicate effectively with both customers and field technicians.
