American Transport, a division of Bennett Oil, is seeking a dependable, organized, and motivated Diesel Fleet Service Writer to support the maintenance operations of our commercial truck and trailer fleet. We are looking for someone who understands the importance of keeping commercial vehicles safely maintained and on the road. The ideal candidate has experience in a diesel repair shop, heavy-duty truck dealership, fleet maintenance department, or similar environment. This is not a hands-on mechanic position. Instead, you will work closely with our mechanics, drivers, dispatchers, and outside repair vendors to ensure maintenance requests are properly documented, repairs are scheduled, and equipment is returned to service as efficiently as possible. Key Responsibilities Receive, review, and document driver-reported equipment defects and maintenance requests. Create, update, and close maintenance work orders using our fleet management platform. Coordinate preventive maintenance, DOT annual inspections, and required equipment services. Schedule truck and trailer repairs with internal mechanics and outside repair vendors. Communicate equipment repair status and estimated completion times to drivers, dispatch, and operations personnel. Track outstanding repairs and follow up with vendors to minimize unnecessary equipment downtime. Assist with ordering, tracking, and receiving replacement parts and maintenance supplies. Review repair invoices, service documentation, and work orders for accuracy and completeness. Maintain organized maintenance records, including repair histories, inspections, and preventive maintenance schedules. Monitor open work orders and ensure completed repairs are properly documented. Assist in identifying recurring equipment issues and communicate concerns to management. Support our maintenance team with day-to-day administrative duties and scheduling. Help ensure our commercial vehicles remain compliant with applicable DOT maintenance and inspection requirements. Qualifications Required: Strong organizational skills and attention to detail. Excellent communication and follow-up skills. Ability to manage multiple repair requests and changing priorities. Computer proficiency, including Microsoft Excel, Outlook, and data-entry systems. Ability to work effectively with mechanics, drivers, dispatchers, and management. Dependable work ethic and a commitment to completing tasks accurately and on time. Preferred: Previous experience as a diesel service writer, service advisor, maintenance coordinator, or shop administrator. Familiarity with heavy-duty diesel trucks, commercial trailers, and common mechanical components. Experience working with fleet maintenance software or electronic work-order systems. Knowledge of preventive maintenance schedules and DOT inspection requirements. Experience coordinating repairs with commercial truck dealerships and outside vendors. Familiarity with ordering truck parts and reviewing repair invoices. The right candidate will be comfortable working in a fast-paced environment where priorities can change throughout the day. You don't need to be a diesel mechanic, but you should be comfortable discussing mechanical issues, understanding repair recommendations, and communicating effectively with technicians and vendors.
