Customer Support Coordinator Position Summary The Customer Support Coordinator supports daily service operations, inventory management, and machine installations. Serving as a key liaison between our customers, customer support teams, warehouse operations, and other internal departments, this role helps to ensure customer support day-to-day readiness. Reporting to the Customer Support Manager, responsibilities include coordinating technician schedules, managing service inventory and consumables, processing shipments, supporting machine delivery intake and showroom installations, handling parts orders and returns, and assisting with service documentation and billing. The role also contributes to process improvements that enhance operational efficiency. The ideal candidate is organized, customer-focused, and able to thrive in a fast-paced technical environment. Mechanical aptitude is a plus. Occasional lifting of materials and equipment up to 40 pounds is required. Essential Duties and Responsibilities Service Coordination & Customer Support Coordinate service activities by scheduling technicians and maintaining accurate service calendars. Receive and respond to service requests, warranty inquiries, and spare parts requests. Communicate service schedules, status updates, and schedule changes to customers and internal stakeholders. Support emergency service situations and machine-down events requiring prompt coordination. Place customer parts orders with approved vendors, manufacturers, and internal parts departments as needed. Follow up with vendors and customers to ensure timely receipt of ordered parts and materials. Research and identify part numbers using technical manuals, manufacturer documentation, ERP systems, CRM systems, and other available resources. Process Return Material Authorizations (RMAs) and coordinate returns with customers and vendors as needed. Perform general administrative duties, including filing, scanning, copying, and records management. Assist with billing support by verifying technician labor entries, billing rates, and service costs against service records and company guidelines. Support warranty administration and service documentation processes. Maintain service calendars, customer service records, machine files, and related documentation. Maintain accurate service records and documentation within applicable systems. Warehouse & Inventory Management Manage inventory levels for oils, coolants, maintenance supplies, and other service-related consumables. Receive, inspect, and organize incoming shipments of machinery accessories, fluids, and service materials. Maintain accurate inventory records, stock counts, and reorder points. Coordinate the distribution and shipment of parts, supplies, and service-related materials as needed. Maintain an organized and safe warehouse storage environment. Machine Delivery & Showroom Installation Support Receive machinery deliveries and verify equipment condition upon arrival. Coordinate equipment movement and placement within the facility. Assist with showroom machine setup and installation, including: Verifying electrical power availability and machine requirements. Assisting with machine leveling and positioning. Installing accessories and peripheral equipment. Follow all mechanical, electrical, and workplace safety procedures. Training will be provided. Maintain clean, organized work areas and support overall showroom presentation. Assist with special projects and departmental initiatives as assigned. Qualifications Education & Experience High school diploma or equivalent required. Associate degree, technical certification, or relevant coursework in business, operations, manufacturing, or a related field preferred. Experience in service coordination, customer service, inventory management, warehouse operations, or administrative support is preferred.
