M3T CorporationJob Summary The Project Coordinator is a detailed professional with a laser focus on project resources and schedules. The Project Coordinator is responsible for maintaining the statuses of project schedules, project materials and labor in our project management software. This means working with Technicians, PMs, internal support teams and customers and subcontractors to receive all information needed to make updates accurately. The ideal candidate will enjoy working with others to accomplish tasks, have strong communication and organizational skills and be technologically savvy as the majority of this job is within a comprehensive software platform. Success in this Position: Supporting and collaborating with the operations team to deliver projects on time, within budget, and meeting quality standards while effectively managing resources, risks, and communication. Additionally, success includes ensuring client satisfaction, maintaining positive team collaboration, and continuously improving project processes. Qualifications: Associates Degree or higher (*if experienced, degree requirement is waived) Conceptual knowledge in the following areas: Access Control / Power Door / Gates / CCTV / Intercom / Physical (Environmental) Security / Security Architecture and Design (preferred) Mechanical aptitude and understanding Must be able to work well with all levels of personnel whether individually or in a team environment Attention to detail in all forms of communication Possess fluent knowledge of office technology platforms Strong Innovative, Motivational, and Proactive Personality Strong verbal and written communications skills Must be able to prioritize in a fast-paced working environment Able to work dynamically within a diverse group of geographically distributed teams. Job Duties Project Coordination & Tracking Maintain and update accurate project information in Q360, including schedules, materials, labor, and resources. Track the progress of assigned projects, work orders, service calls (SSAs), and installations to ensure timely completion and customer satisfaction. Manage and monitor the allocation of resources on a daily basis to maximize revenue and ensure optimal customer satisfaction. Coordinate resources, timelines, and deadlines with team members. Assist in defining project scope, goals, and deliverables. Customer Engagement & Documentation Foster positive customer relationships by providing strategic and supportive communication throughout the project lifecycle. Ensure that all client documentation is kept updated, accurate, and confidential. Data Management & Reporting Provide accurate and timely data for project status, material and labor tracking, and billing requirements. Complete all required reports for select customers’ monthly billings in a timely manner. Update job knowledge regularly to stay informed on project changes and industry best practices. Collaboration & Team Support Assist and support the Senior Project Manager with any tasks or requirements as needed. Ensure that Q360 contains complete and up-to-date information for all assigned projects. Project Close-Out Ensure that all project deliverables are completed, tested, and approved by stakeholders. Prepare final project reports and conduct post-project evaluations. Assist in organizing the handover of completed projects to the client or relevant teams. Budget & Cost Control Assist in tracking project budgets and expenditures to ensure they stay within financial constraints. Ensure timely procurement of materials and services while keeping costs in check. Report any discrepancies or budget concerns to senior project managers. Work Environment This role operates within a fast-paced, team-oriented environment requiring coordination across multiple projects and stakeholders, including remote and geographically distributed teams.
