Customer Service Sales Coordinator
VesuviusOverview: The Customer Service Sales Coordinator is responsible for providing day-to-day customer and sales support by responding to customer inquiries, processing orders, coordinating logistics, and ensuring accurate invoicing. This role serves as a key link between customers, sales, operations, and support functions, with heavy involvement in order execution, shipment coordination, consignment inventory reconciliation, and issue resolution. The position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. Reports to (strong line and dotted line) : Customer Service Sales Supervisor Number of and Profile of Direct Reports (direct and indirect): No direct/indirect reports Financial Responsibility (budget, revenue, assets, …): $500K-$1M monthly in sales revenue Key Responsibilities: Respond to incoming customer inquiries related to order placement, product availability, pricing, shipments, expediting, invoicing, consignment reconciliation/billing, and special projects. Provide customer and sales support through phone, email, and other communication channels. Execute customer orders accurately into ERP system and manage order changes, schedule updates, and order confirmations. When needed, maintain forecasts and schedules and proactively communicate changes or risks. Ensure accurate and timely invoicing in alignment with shipments, pricing, and customer requirements. Coordinate shipping and receiving activities (when applicable), including tracking shipments and arranging transportation as needed. Timely reconcile consignment inventory and ensure proper billing and documentation. Follow up on open orders with production, shipping, logistics, and other internal teams to ensure timely fulfillment. Support internal departments such as Engineering, Finance, ITC, Purchasing, Supply Chain and Operations as needed. Provide logistical support to customers, including coordination with outside warehouses. Ability to manage multiple priorities in a fast-paced environment. High attention to detail and accuracy. Strong organizational and time-management skills. Effective prioritization skills to manage multiple, competing demands. Excellent communication skills, both written and verbal. Ability to work collaboratively across functions. Proficiency with ERP systems. Proficient in Microsoft Office, with emphasis on Microsoft Excel. Qualifications & Experience: Associate or Bachelor’s degree preferred, or equivalent work experience. 2–5 years of experience in customer service, sales coordination, logistics, and/or order management. Experience working with ERP systems (SAP, JDE, or similar). Understanding of order-to-cash processes.
