Our Safety Supply Division provides personal protective equipment, safety supplies, environmental products, and related equipment to contractors, industrial customers, municipalities, and other organizations. The Position OTS Safety is looking for a dependable, organized, and customer-focused Customer Service & Purchasing Coordinator to join our Safety Supply Division, Monday through Friday from 8:00am-4:30pm in our Willowbrook office. This position plays an important role in keeping our customers and internal operations running smoothly. The person in this role will assist customers with orders, product questions, pricing, and order status while also supporting purchasing, vendor communication, inventory needs, and order fulfillment. We are looking for someone who enjoys working with customers, is comfortable juggling multiple priorities, pays close attention to details, and takes ownership of getting things done. Key Responsibilities Customer Service & Sales Support Answer incoming customer calls and emails in a professional and helpful manner Enter and process customer orders accurately Prepare quotes and assist customers with product and pricing questions Provide order status, availability, lead times, and shipping information Communicate with customers regarding backorders, substitutions, and order changes Assist the sales team with quotes, orders, product information, and customer follow-up Help resolve customer service issues and coordinate solutions when problems arise Maintain accurate customer and order information in our ERP system Purchasing & Vendor Support Create and process purchase orders Place orders with vendors and manufacturers Follow up on open purchase orders, backorders, and expected delivery dates Communicate with vendors regarding pricing, availability, freight, and order discrepancies Assist with sourcing products and obtaining vendor quotes Help maintain accurate product costs, vendor information, and purchasing records Coordinate purchasing needs with customer orders and inventory requirements Assist with identifying purchasing or inventory issues before they impact customers Operations Support Work closely with sales, warehouse, purchasing, and management to ensure orders are completed accurately and on time Assist with inventory-related questions and product availability Help research and resolve order, receiving, shipping, or invoicing discrepancies Maintain organized electronic records and documentation Support other administrative and operational needs of the Safety Supply Division What We're Looking For Strong customer service and communication skills Excellent organization and attention to detail Ability to manage multiple orders, requests, and deadlines at the same time Comfortable communicating with customers, vendors, and coworkers by phone and email Strong computer skills and ability to learn new software Experience with Microsoft Outlook, Excel, and other Microsoft Office applications Experience with ERP, inventory, purchasing, distribution, or order management systems is a plus Previous customer service, purchasing, distribution, industrial supply, or inside sales experience is preferred Ability to research problems and follow through until they are resolved Dependable, positive, and willing to work as part of a team What Success Looks Like The right person for this position takes ownership of customer requests and purchasing needs from beginning to end.
