Customer Service/Dispatcher

Job description The Service Dispatcher acts as a vital link between customers and service technicians, ensuring seamless communication, efficient scheduling, and exceptional customer service. This role involves providing accurate product and service information, resolving issues, and reflecting these interactions in the operating software. The Service Dispatcher also offers critical office support to service and maintenance technicians by coordinating daily appointments and ensuring efficient workflow. The goal is to uphold high service standards, respond promptly to customer inquiries, and maintain excellent customer satisfaction. Key Responsibilities: Answering incoming phone calls with professionalism. Schedule service appointments and communicate effectively with customers regarding their needs. Identify and assess customer requirements to ensure optimal satisfaction. Compose and distribute professional correspondence, including emails, memos, letters, and forms. Maintain organized and accurate records of customer interactions, process accounts, and file essential documents. Adhere to established communication procedures, guidelines, and company policies. Assign and route service and maintenance appointments to appropriate technicians. Follow up on service estimates initiated by technicians to ensure timely resolution. Confirm accurate assignment of jobs to technicians based on expertise and service area. Manage warranty parts related to service calls. Handle rebates associated with maintenance appointments. Oversee the scheduling and coordination of residential and maintenance customer appointments.
