MTC CorporationMTCI is seeking a highly organized, detail-oriented Customer Relations & Order Management Specialist to manage customer relationships, customer onboarding, complex sales order processing, invoicing, and accounts receivable collections using Oracle NetSuite ERP. This position serves as a key liaison between customers, Sales, Engineering, Planning, Production, Shipping, and Accounting to ensure accurate order processing, timely billing, and effective communication throughout the order-to-cash cycle. Experience in aerospace or manufacturing is preferred. Customer Onboarding & NetSuite Management Establish and maintain customer records, including profiles, billing and shipping addresses, contacts, payment terms, and required information. Manage onboarding documentation and internal approvals; verify customer purchase orders, contractual requirements, and billing instructions. Coordinate with Accounting on credit applications, limits, terms, and customer account status; resolve master data discrepancies. Complex Sales Order Entry & Management Review and enter purchase orders into NetSuite, verifying pricing, part numbers, quantities, delivery schedules, and contractual requirements. Process multi-line orders, blanket purchase orders, scheduled releases, staggered deliveries, and customer-specific requirements. Validate purchase orders against quotations and pricing agreements; coordinate part revisions and manufacturing requirements with Engineering, Planning, and Production. Manage order changes, cancellations, quantity revisions, and delivery adjustments; monitor open orders and communicate status to customers. Maintain accurate records of orders, revisions, and confirmations. Customer Relations & Account Management Serve as a primary customer contact for order, pricing, delivery, invoice, and account balance inquiries. Maintain professional relationships with purchasing and accounts payable contacts. Resolve discrepancies, shortages, shipping issues, and customer concerns in coordination with internal departments. Billing & Invoicing Prepare and process accurate NetSuite invoices based on shipments, contract terms, and customer requirements. Verify prices, quantities, PO references, shipping documents, and billing information before submission. Manage electronic invoicing and customer vendor portals; coordinate promptly with Shipping and Accounting. Process authorized credit memos and corrections; resolve billing disputes and assist with month-end billing reconciliation and unbilled order reviews. Accounts Receivable & Collections Monitor receivable balances and aging reports in NetSuite; follow up professionally on outstanding and past-due invoices. Confirm invoice receipt, payment status, and anticipated payment dates with customer accounts payable departments. Resolve short payments, deductions, disputed invoices, unapplied payments, and credit balances with Accounting. Escalate significant delinquencies and maintain collection notes and follow-up records. Internal Coordination & Process Improvement Collaborate with Sales, Engineering, Planning, Production, Quality, Shipping, and Accounting across the order-to-cash process. Improve NetSuite workflows, data accuracy, billing efficiency, and customer communications. Develop standard procedures and prepare open-order, billing, overdue-account, and customer activity reports. Support internal controls and transaction documentation. Required Qualifications 3–5 years of experience in customer service, order management, sales administration, accounts receivable, or a related role. ERP experience; Oracle NetSuite strongly preferred. Experience with complex customer purchase orders, invoicing, and collections. Strong Excel, Outlook, communication, organizational, and problem-solving skills; ability to manage multiple deadlines independently.
