Position Summary The Customer Order Management Coordinator is responsible for managing customer orders from initial quotation through fulfillment and shipment. This position serves as a key point of contact between the customer, internal operations, and suppliers to ensure orders are entered accurately, customer commitments are communicated clearly, delivery dates are maintained, and shipments are completed according to customer requirements. The role requires strong organizational skills, attention to detail, and the ability to manage multiple customer accounts and priorities simultaneously. Key Responsibilities Communicate directly with customers regarding order status, delivery dates, open orders, and changes to requirements. Review and confirm customer orders, ensuring quantities, pricing, requested delivery dates, and other requirements are accurate. Enter and maintain sales orders in the company’s ERP system with a high degree of accuracy. Create and maintain work orders to support customer requirements, production activities, and shipments. Maintain customer delivery dates and order information within customer portals, ensuring information remains current and accurate. Monitor customer portals for new orders, schedule changes, releases, and other customer requirements. Coordinate supplier-managed inventory (SMI) activities, including reviewing inventory requirements and releasing work orders to pull material for shipment to customers. Coordinate with suppliers, production, purchasing, warehouse, and shipping personnel to ensure materials are available when required. Monitor open orders and proactively identify potential delays or issues that could impact customer commitments. Provide timely communication to customers regarding changes to order status, delivery schedules, shortages, or other issues. Create, print, and maintain shipping labels in accordance with customer and carrier requirements. Prepare and transmit advance ship notices (ASNs/ship notices) to customers, ensuring shipment information is accurate and submitted within required timelines. Verify shipment quantities, part numbers, purchase orders, and other required information prior to issuing ship notices. Prepare and maintain weekly customer status reports for both domestic and international/foreign customer divisions. Track order progress and provide accurate reporting on open orders, shipments, past-due orders, upcoming requirements, and potential risks. Maintain accurate customer, order, shipping, and inventory records and ensure all required documentation is completed. Support cross-functional teams in resolving order, inventory, scheduling, labeling, and shipping issues. Prioritize multiple customer requirements while maintaining accuracy and meeting deadlines. Perform other customer service, order management, shipping, and administrative duties as required. Qualifications 2+ years of experience in customer service, order management, sales administration, production coordination, supply chain, or a related field preferred. Experience working with ERP systems, customer portals, and order management systems . Experience with shipping labels, ASNs/ship notices, and customer-specific shipping requirements preferred. Strong written and verbal communication skills. Excellent organizational and time-management abilities. Strong attention to detail and accuracy. Ability to manage multiple orders, customers, and deadlines simultaneously. Ability to communicate effectively with customers, suppliers, and internal departments. Strong problem-solving and follow-up skills. Proficiency with Microsoft Office, particularly Excel and Outlook . Experience with international/foreign customer accounts or shipments is a plus. Manufacturing, distribution, or supply-chain experience is preferred.
