CSR/Dispatch (Transplus Fleet Manager Exp is must)

Job description: Position Summary Wheel King Transhaul Inc. is seeking an experienced and customer-focused Dispatch Coordinator to join our operations team in Acton, Ontario. The ideal candidate will have strong transportation and dispatch experience, exceptional customer service skills, and hands-on expertise using TransPlus Fleet Manager . This role is responsible for coordinating daily dispatch operations, managing customer communications, ensuring on-time service delivery, and maintaining accurate shipment information. The successful candidate must be highly organized, proactive, and capable of working in a fast-paced transportation environment while prioritizing customer updates and operational efficiency. Key ResponsibilitiesDispatch & Fleet Coordination Coordinate daily dispatch activities for company drivers and fleet operations. Assign loads and routes based on customer requirements, driver availability, and equipment capacity. Monitor shipment progress and ensure on-time pickup and delivery performance. Track tractors, trailers, and drivers to maximize fleet utilization. Coordinate schedule changes, service failures, and urgent customer requests. Communicate load information, route changes, and operational updates to drivers. Manage and update dispatch records accurately within TransPlus Fleet Manager. Ensure compliance with company policies, Hours of Service (HOS), and transportation regulations. Customer Service & Communication Serve as the primary point of contact for customer emails and phone calls. Provide timely status updates on shipments, delays, deliveries, and service issues. Respond to customer inquiries professionally and efficiently. Proactively communicate potential delivery delays and develop solutions to minimize service disruptions. Maintain excellent relationships with customers through consistent follow-up and communication. Escalate critical service concerns to management when necessary. Ensure customer satisfaction by providing accurate and timely information. Fleet Manager Administration Enter, update, and maintain load information in TransPlus Fleet Manager. Monitor shipment milestones and ensure data accuracy. Generate reports related to dispatch operations, customer service performance, and fleet activity. Verify load documentation and delivery confirmations. Ensure all dispatch information is properly recorded and updated in real time. Problem Resolution & Operational Support Troubleshoot delivery issues, route challenges, and service interruptions. Coordinate with drivers, customers, warehouses, and operations personnel to resolve issues promptly. Manage last-minute scheduling adjustments and emergency shipments. Support fleet availability planning and equipment utilization. Assist operations management in achieving service and performance objectives. QualificationsRequired Minimum 2 years of experience in transportation dispatch, logistics coordination, or fleet operations. Strong working experience with TransPlus Fleet Manager . Experience handling customer emails, phone calls, and shipment status updates. Strong understanding of transportation and trucking operations. Excellent verbal and written communication skills. Exceptional customer service and relationship management abilities. Strong organizational and multitasking skills. Ability to work effectively under pressure in a fast-paced environment. Proficiency in Microsoft Excel, Outlook, and Word. Preferred Experience dispatching LTL, dedicated, or truckload operations. Knowledge of Ontario transportation regulations and Hours of Service requirements. Familiarity with fleet tracking, GPS systems, and transportation management software. Previous experience in the automotive parts transportation industry. Bilingual (English and Punjabi/Hindi or French) is considered an asset.
