This role involves coordinating with various government agencies to obtain state-level certifications, Apostilles, and federal authentication for international business needs. The ideal candidate will have strong organizational skills, familiarity with document legalization processes, and the ability to navigate multiple government offices efficiently. This position offers an opportunity to support our global operations by ensuring all corporate documents are properly authenticated for international use. Responsibilities Obtain state-level certifications and Apostilles from the Secretary of State offices in Wyoming, New Mexico, Colorado, and Florida. Manage federal-level document authentication through the US Department of State in Washington, D.C. Coordinate with relevant government agencies to ensure timely processing of all legalization requests. Maintain accurate records of all documents submitted and received, including tracking deadlines and statuses. Communicate effectively with internal teams and external agencies to facilitate smooth processing of documentation. Ensure compliance with legal requirements and procedural guidelines for document legalization and authentication. Stay updated on changes in legalization procedures or requirements across different jurisdictions. Assist in preparing necessary documentation and forms required for each legalization process. Requirements Proven experience in document procurement, legalizations, or related administrative roles preferred. Familiarity with the Apostille process, state certifications, and federal authentication procedures. Strong organizational skills with attention to detail and accuracy. Excellent communication skills for coordinating with government agencies and internal teams. Ability to manage multiple tasks simultaneously while meeting deadlines. Knowledge of the legal requirements related to document legalization is a plus. Proficiency in using office software and tracking systems for documentation management. Ability to work independently with minimal supervision while maintaining high standards of quality.
