POSITION SUMMARY The Construction Project Administrator is responsible for providing comprehensive administrative and operational support for construction projects, while overseeing general office administration, fleet management, and inventory control. This position plays an important role in keeping projects organized, maintaining accurate records, coordinating resources, and supporting efficient day-to-day business operations. ESSENTIAL DUTIES AND RESPONSIBILITIES Construction Project Administration Assist project managers with project documentation, schedules, budgets, purchase orders, and administrative tasks as needed. Prepare, organize, and maintain project files, contracts, estimates, change orders, work orders, and other construction-related documentation. Track project milestones, deadlines, material orders, deliveries, and outstanding administrative requirements. Assist with scheduling crews, subcontractors, deliveries, and other project-related activities. Maintain accurate project records, including change orders, selections, warranties, permits, and closeout documentation. General Office Administration Oversee daily administrative functions to support the efficient operation of the office. Manage office supplies, equipment, and general administrative resources. Assist with preparing forms, reports, spreadsheets, and other business documents. Maintain company calendars, coordinate meetings and events as needed. Identify opportunities to improve office procedures, recordkeeping, and administrative efficiency. Inventory and Materials Control Maintain accurate inventory records for company tools, equipment, materials, and supplies. Monitor inventory levels and coordinate replenishment of commonly used materials, tools, and office supplies. Track the assignment, distribution, return, and condition of company-owned tools and equipment. Establish and maintain an organized system for inventory storage, tracking, and accountability. Coordinate the return, replacement, or repair of defective, damaged, or unused materials and equipment. Reporting and Operational Support Prepare routine administrative, project, fleet, and inventory reports for management. Maintain accurate spreadsheets, databases, and records to support business operations. Monitor outstanding administrative tasks and communicate deadlines and unresolved issues. Assist management with tracking operational expenses, purchasing activity, and resource utilization. Identify inefficiencies in administrative procedures and recommend practical improvements. Provide general operational support and assist with special projects as assigned. QUALIFICATIONS AND REQUIREMENTS Education and Experience Associate degree or relevant postsecondary education preferred. Two or more years of experience in construction administration, project coordination, office management, or a related field preferred. Experience in residential construction, remodeling, or the trades is highly desirable. Experience with fleet coordination, purchasing, or inventory management is preferred. Proficiency in Microsoft Office, particularly Excel, Outlook, and Word. Experience with construction or project management software. Skills and Abilities Strong organizational skills and exceptional attention to detail. Excellent written and verbal communication skills. Ability to manage multiple projects and administrative responsibilities simultaneously. Strong time management skills and the ability to prioritize competing deadlines. Ability to work independently, take initiative, and follow tasks through to completion. Strong problem-solving skills and the ability to identify and resolve routine operational issues. Ability to maintain accurate records and handle confidential information appropriately. Professional communication and interpersonal.
