Position summary You are the hub that keeps crews, schedules, materials, and customers moving. You will run the company’s scheduling software across departments, take calls, bring new clients into the system, and reshuffle jobs when weather hits. You will also help place material orders and send light collection reminders. In-house AI assist is available for routine scheduling, notes, orders, and follow-up so you can focus on judgment calls—not busywork. What you will do Manage daily and weekly schedules in our operations software for irrigation and related field departments Answer incoming calls, route them, take messages, and give customers clear status updates Intake new clients: collect job details, enter them in the system, and get work onto the right schedule Reassign and move jobs and projects on rain days and other weather delays so crews stay productive Help with material orders: pull what jobs need, place or confirm orders, and track arrivals so crews are not waiting on parts Light assist with collection reminders to clients (polite follow-ups on outstanding invoices; you are not the collections lead) Coordinate between office, technicians, and other departments so nothing sits unassigned Use in-house AI assist for scheduling drafts, job notes, order lists, call summaries, and routine follow-up; you remain responsible for accuracy and customer tone Keep calendars, job boards, material status, and client records current so the field has what it needs before they roll Skills Microsoft Office (Outlook, Excel, Word) for email, schedules, lists, and basic tracking Strong organizational and attention to detail skills are a must. Telephone skills: clear, professional call handling, voicemail, and message taking Strong communication with employees, suppliers, and clients—written and spoken Comfortable with scheduling or dispatch software (we will train on ours) Organized and detail-oriented; able to juggle several jobs at once without dropping a customer Willing to handle simple purchasing follow-through and courteous payment reminders Willingness to use AI tools as a helper, then check and finish the work yourself Reliable and professional with field crews and office staff Prior dispatch, office admin, customer service, purchasing, or landscaping/irrigation experience is a plus—not required Schedule This is a full-time role. Hours can be flexible during the week for the right person who still covers core dispatch windows (we will set those together). Rain-day and peak-season days may require extra coordination; that is part of the job. Pay: $18.00 - $20.00 per hour Expected hours: No more than 40.0 per week Benefits: Flexible schedule Work Location: In person
