Premier Homes Group LLC, a luxury custom home builder based in Vienna, Virginia, is seeking an experienced, highly organized Construction Accounting & Purchasing Coordinator to join our team. This is a hands-on position for someone who is exceptionally detail-oriented and comfortable managing the financial and administrative activity associated with multiple high-end residential construction projects. The ideal candidate will have experience in construction, homebuilding, real estate development, or another project-based business. Key Responsibilities Track and categorize project expenses accurately by home, project, vendor, and cost category. Review vendor and subcontractor invoices for accuracy and proper documentation. Prepare invoices and bills for management approval and payment. Maintain accurate accounts payable records and supporting documentation. Reconcile vendor statements and identify discrepancies, duplicate invoices, missing credits, or billing errors. Assist management with monitoring actual project costs against budgets and purchase orders. Maintain organized records of contracts, purchase orders, invoices, change orders, and vendor documentation. Track company and project inventory, including materials, fixtures, equipment, and other purchased items. Assist with purchasing and procurement activities for multiple custom-home projects. Prepare and distribute Requests for Proposals (RFPs) to subcontractors, suppliers, and vendors. Collect and organize subcontractor and vendor proposals. Create bid comparisons so management can quickly evaluate pricing, scope, exclusions, and qualifications. Follow up with vendors and subcontractors to ensure proposals and required information are received on schedule. Help maintain vendor and subcontractor pricing databases. Assist with other accounting, purchasing, cost-control, and administrative responsibilities as needed. Ideal Candidate We are looking for someone who is more than a data-entry bookkeeper. The successful candidate should be comfortable taking ownership of the details and helping management maintain strong financial controls across multiple construction projects. Candidates should have: 5+ years of bookkeeping, accounting support, purchasing, or construction administration experience. Experience with a custom home builder, production builder, general contractor, construction company, or real estate developer strongly preferred . Strong understanding of accounts payable, expense tracking, job costing, and vendor reconciliation. Experience working with purchase orders, contracts, subcontractor bids, and RFPs is highly desirable. Excellent Excel and spreadsheet skills. Strong organizational skills and exceptional attention to detail. Ability to manage multiple projects and deadlines simultaneously. Confidence communicating with subcontractors, suppliers, vendors, and company management. Ability to identify discrepancies and follow through until issues are resolved. High level of integrity and discretion when handling company financial information.
