Job title: Commercial Operation Support Specialist Job holder: Responsible To: Commercial Manager Location: 6333 E. 56th Avenue, Commerce City, CO 80022 / 13516 CR 8 Ft Lupton CO 80621 Overall goal: The Commercial Operations Support Specialist plays a key role in ensuring smooth day-to-day execution of commercial activities. This position supports the sales and operations teams by managing order workflows, supports logistics, maintaining accurate data, preparing documentation, and serving as a communication bridge between internal teams, suppliers, and customers. Role Objectives: Order management and fulfilment Customer and Internal Communication Documentation & Data Management Operations and Logistics Support Process Improvements To execute the company policy To ensure full compliance with legal OSHA and ISO requirements Duties and responsibilities Order Management & Project Support: Enter and review all customer purchase orders for accuracy, ensuring correct part numbers, quantities, pricing, terms, and shipping instructions. Validate order details, pricing, product availability, and delivery timelines. Ensure orders comply with internal policies, minimum order requirements, and approval workflows Maintain uptodate Sales/Purchase open order status reports, delivery schedules, and technical documentation. Coordinate with supply chain and warehouse teams to ensure ontime shipment Proactively identify atrisk orders by monitoring order progress daily Request BOMs, Drawings, Technical Specs in support of quoting new products File management within DropBox upon receipt of these documents Ensure customer documentation is thorough and complete to assist in System Support: Ensure customer orders are in alignment with established pricing models. Validate margins, terms, and special conditions Assist in accurately loading and updating part information into Item Master Data in SAP Assist in accurately loading new project BOMs into SAP. Ensure the accurate receipt and entry of customer purchase orders and contracts into the ERP system, ensuring timely processing and fulfilment. Manage customer purchase order dispatch through the ERP system, collection and maintenance of shipping documentation, and timely invoicing. Internal Communication: Communicate changes, delays, and resolutions effectively to sales reps, customers, and internal teams. Communicate effectively with production, logistics, sales, and finance to resolve issues and ensure alignment. Support new product introductions by coordinating internal communication and system setup Document & Data Management Prepare commercial documentation including invoices, packing lists, compliance certificates, and proposals. Ensure data accuracy within ERP/CRM systems, including pricing, BOMs, and material availability. Generate reports for sales, operations, and management (e.g., order status, backlog, inventory levels) Operations & Logistics Coordination Facilitate incoming shipments from all vendors domestic and international to Sphere North/South Coordinate with internal receiving team to ensure timely receipt and processing. Maintain accurate records of shipments and deliveries Ensure all logistics documentation is completed accurately and stored securely. Assist with freight quotes, duty/tariff inquiries, and export/import documentation as required. Process Improvement Identify gaps in commercial workflow and propose solutions. Support implementation of standardized processes, SOP updates, and system improvements.
