City of EdmontonJob Number : 56188 The Edmonton Police Service (EPS) requires a highly skilled administrative professional to fulfill a unique and challenging position. This position will provide administrative support to the Deputy Chief in charge of the Community Safety and Well-being Bureau, which includes the Integrated Community Safety Division and the Crime Suppression and Community Operations and ECOM Division. The successful candidate will be responsible for: Provide confidential, high-level administrative support to the Deputy Chief, Community Safety and Well-being Bureau, exercising sound judgment and discretion when handling highly sensitive and confidential information. Manage incoming and outgoing communications and correspondence, including voicemail, email, and mail, and draft, format, edit, and proofread correspondence and materials, including emails, letters, reports, briefing notes, memoranda, presentations, and other documents to a high standard. Coordinate and assist with attendance reporting and vacation scheduling for the Bureau. Manage the Deputy Chief's calendar, including scheduling meetings, engagements, and events, and resolving scheduling conflicts and competing priorities. Coordinate meetings and events by booking meeting spaces, providing virtual meeting support, arranging refreshments, preparing and distributing meeting materials, and ensuring all logistical requirements are met. Attend meetings as required, prepare meeting minutes, track action items, monitor due dates, and follow up on outstanding matters to support operational effectiveness across the Bureau. Maintain and organize confidential records, documents, diary dates, and deadlines, ensuring timely follow-up and appropriate records management practices. Coordinate travel arrangements, including preparing travel documentation, making reservations, and processing travel-related requirements. Prepare travel expenses claims and reconcile procurement cards and petty cash transactions in accordance with established policies and procedures. Maintain office supplies and coordinate the ordering of administrative resources as required. Coordinate and review budget information, financial records, and variance reports to support effective financial administration within the Bureau. Collaborate with Administrative Assistants across the Office of the Chief and the Community Safety and Well-being Bureau to coordinate processes, share information, and ensure seamless administrative support and backup coverage. Qualifications : Completion of the twelfth (12th) school grade including business subjects with emphasis on general office practices or completion of an appropriate certificate program from an approved business school/college; and a minimum of five (5) years progressively responsible and diversified office experience including a minimum of two year's experience in the supervision of a moderate to large clerical support unit - OR - Completion of the twelfth (12th) school grade including business subjects with emphasis on subjects related to the area of specialization or completion of an appropriate certificate program from an approved business college/school and a minimum of five (5) year's progressively responsible experience in the area of specialization. Proficient in the use of Microsoft Office Products including Word, Excel, PowerPoint, MS Teams, MS Forms, SharePoint, and Adobe Acrobat Pro. Analytical and problem-solving skills.
