Catering Dispatcher

About the Role We are seeking a highly organized, detail-oriented, and proactive Catering Dispatcher to coordinate the timely and accurate dispatch of catering food and beverage orders. This role serves as the central point of coordination between the kitchen, catering administration team, produce department, coffee bar, bakery and delivery drivers. The Catering Dispatcher is responsible for organizing orders according to delivery schedules, verifying food quality and order accuracy, coordinating drivers, and ensuring deliveries leave the facility in the correct sequence and on time. Success in this position requires strong time management, sound judgment, and the ability to make quick decisions in a fast-paced environment. The ideal candidate is comfortable balancing planning with hands-on work and can adapt delivery priorities as operational conditions change. Key Responsibilities 1. Dispatch Planning and Coordination Organize and prioritize catering orders based on scheduled delivery times, order requirements, and delivery routes. Coordinate and assign drivers, organize delivery schedules, and ensure orders are ready for dispatch in the correct sequence. Arrange food and beverage orders chronologically according to delivery deadlines to support efficient loading and timely departures. Monitor dispatch progress and independently adjust delivery sequences, driver assignments, and priorities as circumstances change. Coordinate closely with the kitchen, bakery, produce department, and coffee bar to ensure all components of each order are ready on time. 2. Food Quality and Order Accuracy Conduct checks of food and beverage orders before dispatch to verify quality, presentation, quantity, packaging, and completeness. Match completed orders against invoices and order documentation to ensure accuracy and prevent missing, incorrect, or excess items. Identify and resolve discrepancies, missing items, delays, or quality concerns before orders leave the facility. Ensure food is properly organized, staged, and handled in accordance with established food safety and handling procedures. Confirm that each order is correctly organized and ready for the assigned driver. 3. Driver and Delivery Management Coordinate directly with drivers to communicate delivery priorities, departure times, order requirements, and schedule changes. Organize orders to support efficient loading and minimize delays, confusion, and unnecessary handling. Monitor changing operational conditions and make timely decisions to keep deliveries on schedule. Reprioritize orders when unexpected delays, production issues, or delivery changes arise. Maintain clear communication with drivers throughout the dispatch process. 4. Customer Communication and Service Recovery Proactively communicate with customers when a delivery is anticipated to be late or when changes affect the agreed delivery schedule. Provide timely, accurate updates regarding delays, revised arrival times, and other delivery-related changes. Work with the catering administration team to ensure customers receive consistent information and appropriate follow-up. 5. Internal Communication and Operational Support Maintain strong, ongoing communication with catering administrators to confirm order details, delivery requirements, timing, and changes. Communicate potential delays, incomplete orders, and operational challenges to the appropriate departments promptly. Act as the central communication link between food preparation teams and delivery operations. Identify recurring dispatch issues and suggest practical improvements to workflow, order staging, and delivery coordination.
