Our clients count on us for airport pickups, out-of-town runs, and VIP reservations with very specific instructions, and they rarely meet the person who makes it all work. That person is the dispatcher. We are looking for an experienced Dispatcher who stays calm when the board gets busy, enjoys a puzzle that changes every fifteen minutes, and takes pride in a shift where every client arrives exactly when they should. Between flight changes, New York traffic, and VIP requests, no two shifts look alike, which keeps the work interesting long after your first week. What you will do? Keep the board moving Assign chauffeurs to pickups and drop-offs based on location and availability, distributing reservations fairly while prioritizing company chauffeurs. Review the dispatch screen at the start of each shift to see current events and chauffeur locations, and watch the assigned screen for new jobs as they are entered. Check all pending reservations and confirm dispatch times, paying close attention to out-of-town pickups. Track flight arrivals and coordinate timing with the assigned chauffeurs. Keep chauffeurs and clients in sync Monitor vehicle locations and trip progress in real time. Watch chauffeur acknowledgments (ACK) and ETAs, confirm passenger approval, and contact any chauffeur who has not accepted a dispatched reservation within five minutes. Make sure VIP reservations and any special instructions, needs, or requirements are handled exactly as requested. Assign Sales Associates to call passengers whenever a scheduled reservation is running behind. Solve problems before clients ever notice them Handle whatever the road throws at you, from traffic delays and flat tires to vehicle malfunctions and bailouts. Write clear incident reports for bailouts, flat tires, accidents, and customer complaints. Keep accurate records of all dispatch activity and customer interactions. Take care of our clients Answer calls and emails with courtesy and professionalism, acting as a proud ambassador for Legends. Give clients service information, including fleet vehicle options, rates, and accurate price quotes. Recommend the right transportation for each trip and book additional reservations on inbound and outbound calls. Enter new reservations in our system, manage client relationships in our CRM, send confirmation emails, and reconfirm upcoming trips.
