About the role Lacterra is a growing dairy business serving Canadian and international markets. We are seeking an organized, detail-oriented Bookkeeper & Office Administrator to support our new Woodstock manufacturing facility. This hands-on role combines bookkeeping with inventory administration and customs and shipping coordination. You will work closely with management, production and warehouse staff, customs brokers and external accountants to maintain accurate records and support daily operations. Key responsibilities Bookkeeping Maintain accurate, up-to-date financial records in QuickBooks Online. Process supplier invoices, match purchase orders and receiving records, and resolve discrepancies. Prepare payments for management approval. Prepare customer invoices, record payments and follow up on outstanding accounts. Reconcile bank accounts, credit cards and supplier statements. Maintain accounts payable and receivable aging reports. Support payroll processing and prepare supporting records for tax remittances. Assist with month-end and year-end closing and provide documentation to external accountants. Inventory administration Maintain inventory records for ingredients, packaging materials and finished products. Record receipts, production usage, transfers and shipments using information provided by production and warehouse teams. Coordinate physical inventory counts and investigate discrepancies. Track lot numbers and expiry dates to support product traceability. Monitor stock levels and flag shortages or replenishment requirements. Place purchase orders and follow up with suppliers on deliveries. Reconcile inventory records with accounting balances and report discrepancies. Customs and shipping coordination Prepare and organize commercial invoices, packing lists and other import/export documentation. Coordinate with customs brokers, carriers and internal staff on Canadian and U.S. shipments. Provide brokers with accurate product, quantity, value and origin information and obtain clarification where needed. Follow up on customs clearance, missing documents and shipment delays. Review freight and customs brokerage invoices and flag discrepancies. Maintain organized shipping and customs records. Assist with scheduling pickups and deliveries and tracking shipments. Office administration Maintain organized financial, inventory and shipping files. Respond to routine supplier and customer inquiries. Prepare spreadsheets and reports for management. Assist with other office and administrative tasks as required. Qualifications Strong working knowledge of QuickBooks Online and Microsoft Excel. Experience with accounts payable, accounts receivable and account reconciliations. Strong attention to detail, organization and ability to meet deadlines. Clear written and verbal communication skills. Ability to work independently and coordinate with multiple departments. Discretion when handling confidential information.
