Billing and Inventory Specialist

Position Summary R.F. Technologies, Inc. is seeking a detail-oriented Billing & Inventory Specialist to join our team in Bethalto, IL. This is a cross-functional position that combines computer-based shipping and billing responsibilities with hands-on inventory control. A significant part of this position involves computer work, data entry, invoicing, processing customer orders, maintaining accurate records, and coordinating shipments. The position also provides hands-on support with receiving, packing and shipping equipment, and inventory. This is not a traditional warehouse or forklift position. The ideal candidate is comfortable working at a computer, entering and reviewing information for accuracy, learning our ERP and shipping systems, and also enjoys having a hands-on component to their work. Key Responsibilities Shipping, Billing & Administrative – Primary Responsibilities Enter and process customer orders and repair information into company systems Generate invoices and assist with billing transactions Verify order details, pricing, customer information, and shipping information for accuracy Prepare and maintain shipping and billing documentation Enter tracking information and maintain accurate shipment records Prepare shipping labels and documentation Coordinate with carriers and schedule pickups as needed Process incoming shipments and enter receiving information into the system Communicate with internal departments regarding orders, repairs, billing, and shipping Maintain organized and accurate electronic and paper records Assist with general administrative and data-entry tasks related to shipping, billing, and operations Shipping & Logistics Prepare, pack, and ship outgoing orders accurately and on time Verify order contents against packing slips and shipping documentation Receive and process incoming repair equipment and other shipments Ensure shipments are properly packaged and documented Coordinate with carriers and assist with pickup scheduling General / Cross-Functional Support Work closely with team members across accounting, operations, production, and shipping Help identify opportunities to improve accuracy and efficiency Adapt to changing priorities in a fast-paced environment Perform other related duties as assigned Qualifications High school diploma or equivalent required Strong computer and data-entry skills Strong attention to detail and accuracy Comfortable working with invoices, numbers, customer information, and detailed records Ability to learn and navigate ERP, shipping, invoicing, and other computer systems Previous experience in shipping, billing, administrative support, data entry, manufacturing, electronics, or a similar environment preferred Ability to multitask and prioritize responsibilities Strong organizational and communication skills Ability to work both independently and as part of a team Willingness to perform both computer-based administrative work and hands-on inventory/shipping tasks What You Can Expect This position offers a variety of responsibilities and is ideal for someone who enjoys working with computers and paperwork but also wants some hands-on work throughout the day. The successful candidate will spend a substantial portion of their time working with our computer systems, processing information, preparing invoices and shipping documentation, and ensuring orders and records are accurate. Experience with warehouse or shipping operations can be helpful, but there is no forklift operation with this position.
