Responsibilities Greet visitors, parents, and staff with warmth and professionalism at the front desk Manage multi-line phone systems, answer inquiries, and direct calls efficiently using proper phone etiquette Handle data entry tasks accurately within our database systems, including attendance records and enrollment information Maintain organized filing systems for confidential documents, records, and correspondence Support bookkeeping activities using QuickBooks or similar accounting software to track payments and expenses Assist with calendar management for staff schedules, appointments, and parent meetings Provide exceptional customer service by addressing parent concerns promptly and professionally Manage office supplies inventory and coordinate procurement as needed to ensure smooth operations Create and assist with Marketing Experience Proven clerical or administrative experience in an office setting, preferably within a childcare or educational environment Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and data entry skills Experience with office management tasks such as filing, proofreading, and document organization Excellent organizational skills with the ability to multitask efficiently in a fast-paced setting Bilingual fluency in English and Spanish, enabling effective communication with diverse families and staff Demonstrated ability to handle confidential information discreetly and professionally Exceptional phone communication skills coupled with good time management and prioritization abilities Personal assistant or office support experience is a plus but not required Join us in creating a warm, organized atmosphere where children thrive!
