TITLE: Bank Operations Associate
DEPARTMENT: 955 – Deposit Operations
JOB SUMMARY:
The Bank Operations Associate is responsible for the scanning and digitizing of projects and the processing of bank and client records and files in an accurate and timely manner. This position is also responsible for lockbox processing for Treasury Management clients.
ESSENTIAL FUNCTIONS:
- Research and respond timely to inquiries and requests from bank staff and clients regarding the entire operations process, while following established policies and procedures.
- Send files and documentation securely to clients.
- Protect all documents after scanning, including their safe disposal if applicable, according to HIPAA regulations.
- Create and forward files and other pertinent documents to bank team members at various locations.
- Provide support for and adhere to SOX procedures including review for quality assurance on certain processes.
- Accept and organize all items for scanning; properly image documents, including verifying image qualify and correctly indexing based on document types and requirements.
- Understand the core system, bank products and debit cards to assist with internal e-mails and calls.
- Process bank closed accounts.
- Balance assigned internal accounts provided to management for end of month review and certification.
- Complete domestic and foreign wire transfer requests in accordance with policy and procedures, governing wire transfer operations, utilizing multiple wire transfer systems.
- Understand overdraft decision making to determine which overdraft checks to pay and which to return according to bank guidelines.
- May process returned mail, check adjustments, research requests, ATM and gift card supply orders and garnishments and levies.
- Order money, including foreign currency for the branches and ATM.
- Research and respond to questions from Lockbox clients and collaborate with Treasury Management as needed on Lockbox related inquires or issues.
- Prepare all lockbox contents to the specifications provided by the clients in accordance to their lockbox agreement. This will include preparing manual lockbox contents as well as assisting with the process of all automated lockbox contents.
- Maintain confidentiality of client account information.
- Comply with all company or regulatory policies, procedures and requirements applicable to this position.

QUALIFICATIONS:
- High school diploma or equivalent. Associate degree preferred.
- Previous banking experience in Operations preferred.
- Knowledge of balancing procedures.
- Capability to work independently to complete assigned tasks.
- Strong attention to detail and accuracy.
- Proficient with Microsoft 365 products (Word, Excel, etc)
